About our Firm Heer Law specializes in providing intellectual property law, intellectual property litigation, patent agent and trademark agent services. We are a fast-growing boutique intellectual property law firm located in downtown Toronto. The Role The Legal Receptionist (Client Intake Coordinator) is responsible for answering the phones, responding to emails, and greeting visitors at reception once the firm reopens to the public. Additionally, he or she will work closely with our Client Intake Team, helping the firm to maximize its efficiency and organization. Responsibilities Client & Visitor Focused Tasks:
  • Answer, screen, and direct incoming calls
  • Greet clients, guests, lawyers, and visitors
  • Assist in scheduling client and visitor calls and meetings
  • Willingness to learn about the firm\xe2\x80\x99s legal services and to address initial inquiries from prospective new clients over time (We will provide you with hands-on, in-depth training to help you excel in your position and advance your professional career)
  • Create a positive and professional first impression on behalf of the firm
  • Other receptionist duties, as assigned
Administrative Tasks:
  • Receive mail and deliveries, directing to the correct person
  • Assist our Client Intake Team with CRM management, following up by phone and email with potential new clients and other related tasks
  • Running conflict checks
  • Sending out a Client Identification Information form through our CRM software, Lawmatics
  • Preparing an engagement letter to be approved by a senior team member and then arranging for the client\xe2\x80\x99s signature (also through our CRM software, Lawmatics)
  • Arranging for the client to provide the initial financial retainer
  • Other general administrative tasks, as required
Qualifications
  • 1+ years in a receptionist role or client intake role at a law firm or professional organization
  • High school diploma is required
  • Post-secondary education is an asset
  • Strong English communications skills, both written and oral
  • Excellent telephone etiquette and customer service skills
  • Experience working a multi-line switchboard is an asset
  • Experience working with a CRM system (e.g., Salesforce, Lawmatics, Clio Grow) is an asset
  • Strong MS Office skills (Outlook, Word, Excel)
  • Organized and a strong attention to detail
  • Professional, polite, friendly and a team player
