Responsibilities:
  • Warmly welcome clients, lawyers, and staff, ensuring professionalism.
  • Record all visitor information in the internal tracking system.
  • Handle, screen, and direct telephone calls appropriately.
  • Take initiative in managing the client area, and maintaining a tidy reception space.
  • Oversee the scheduling of meetings, events, and attendees using our meeting room management database.
  • Collaborate closely with the Hospitality and Facilities teams.
  • Arrange catering and IT equipment for meetings as needed.
  • Foster and maintain positive professional relationships with staff, lawyers, and clients.
  • Coordinate with receptionists and colleagues at other office locations for meetings and visits from lawyers and managers.
  • Respond to general inquiries promptly and professionally.
  • Participate in office fundraising and social committees, managing research and tasks as assigned by the Chair.
  • Provide administrative support to various departments such as marketing, accounting, communications, and others.
  • Manage the in-house Library, coordinating book disbursement and returns with other locations.
  • Perform additional administrative duties as required.
Qualifications:
  • At least 2 years of administrative experience in a professional office or hospitality environment.
  • Familiarity with or experience using a computerized switchboard and large meeting room booking software.
  • Exceptional communication and client relation skills, with a strong sense of professionalism.
  • Proficiency in computer skills, including MS Outlook, Word, intranet, and legal-based software programs.
  • Ability to work well in a team and strong problem-solving skills.
  • Self-motivated, highly organized, and able to multitask in a fast-paced work environment.
