JOB SUMMARY
As part of the Language School administration team, the Student Relationship Coordinator plays a key role in supporting students and ensuring a positive experience at MAGMA Language School. Reporting to the Operations Lead, this position serves as the first point of contact for students, handling inquiries about programs and assisting with enrollment into various courses.
Working closely with the Operations Lead and Program Officer, the Coordinator helps manage student enrollment, maintains an accurate waitlist, and ensures student data is kept up to date in the MAGMA database for planning and reporting purposes. Building strong relationships with students is central to this role, contributing to a welcoming and supportive school environment.
CORE POSITION RESPONSIBILITIES
Student Support and Rapport
Organize and support quarterly orientation sessions for new students.
Welcome new students and guide them to their classrooms.
Enroll new and returning students in appropriate language courses.
Coordinate with staff to ensure students are placed at the correct level.
Maintain attendance records and follow up on low or irregular attendance.
Collaborate with the CNC team to address attendance and childcare issues.
Keep the student waitlist updated and manage ongoing class intake.
Update student profiles and key information in the MAGMA database.
Issue student ID cards and certificates as needed.
Refer students to internal and external services to support their settlement needs.
Issue student ID cards and certificates on a regular basis and as needed, ensuring timely distribution and proper record-keeping.
Make appropriate referrals to internal and external stakeholders to support students' settlement and educational needs, ensuring referrals are made in a timely and respectful manner that best serves each student's situation.
Language School Operations Support
Supports the promotion of the school's programming and operations, working closely with the MAGMA marketing team in coordination with the Operations Lead and Head of Language School.
Gathers information and messaging around school activities and student success stories, and reports them to the Head of Language School.
Provides bi-weekly updates to the Operations Lead on waitlists, student enrollment, certificates issued, and referrals made.
Supports key school events and social gatherings.
Manages office stationery inventory and orders books as needed.
Handles phone and email inquiries, forwards messages to appropriate departments and team members, and assists clients with Language Assessment registration.
Oversees maintenance of office equipment (computers, copy machines, fax machines), and contacts the IT department when assistance is needed.
REQUIRED SKILLS & QUALIFICATINS
Bachelor's degree or diploma in Business or Office Administration
1-2 years of related work experience
Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
Strong communication and teamwork skills
Excellent organizational and time management abilities
Resourceful, with strong initiative and problem-solving skills
