Position Summary




The Intake Coordinator serves as the first point of contact for individuals seeking mental health services. This role centers on providing every client with empathetic support and timely connection to the most appropriate services.

Key Responsibilities



Conduct initial screenings for clients interested in Cognitive Behavioral Therapy and other evidence-based mental health practices, via professional verbal and email-based communication Provide clear, compassionate explanations of CBT Associates and other Kii Health related services to prospective clients and external stakeholders Manage intake communications, including emails, 3rd party portals, and faxes, with accuracy and discretion Maintain a thorough understanding of clinicians' expertise, availability, and service offerings. This includes knowledge of populations served, fee structures, specialties, and assessment types Assign cases to appropriate clinician's based on clinical fit and availability Coordinate with clinician's regarding scheduling and appointment logistics Book initial appointments and facilitate client transfers when necessary Input insurance details upon receipt of referral and verify coverage as needed Accurately document client information and interactions in case management software Generate weekly reports, including waitlist updates and dashboard metrics Support junior colleagues on intake procedures and similar roles Respond to general inquiries from clients, families, referring professionals, and case managers Provide information about clinic services and processes, as requested Support outreach and community engagement efforts on behalf of Kii Health Ensure compliance with PHIPA

Qualifications



Bachelor's degree in Psychology, Health Sciences, or a related field Minimum of 2 years' experience in a clinical, customer-service and/or administrative setting Exceptional attention to detail and strong organizational skills Self-motivated and capable of working independently, with sound judgment on when to seek guidance Proficient in computer applications and digital tools Excellent written and verbal communication skills Collaborative team player with a strong work ethic Prior experience in healthcare or mental health settings is considered an asset
