Airmax Technologies is looking for a skilled and detail oriented Inside Sales Administrative Assistant to join our team. This role is primarily focused on providing sales, marketing and administrative support, ensuring smooth operations across order processing, customer communication, and internal coordination. In addition, the successful candidate will contribute marketing expertise to support both digital and traditional initiatives, making this a dynamic role that blends organization, communication, and creativity. Achieving success in this position requires a high degree of accuracy, effective time management, and a strong commitment to customer service.
Inside Sales Administrative Support
Provide administrative support to management, sales, and operations
Manage daily correspondence: emails, calls, customer inquiries
Prepare and maintain sales documents, quotes, order confirmations, and reports
Support sales team with quoting, order entry, and follow-ups
Communicate with customers regarding product availability, lead times, and pricing
Coordinate closely with warehouse/production teams to ensure accurate shipments
Monitor inventory levels and issue purchase orders, process vendor invoices
Update company social media accounts (LinkedIn, Facebook, Instagram, YouTube) with engaging, brand content.
Assist in developing and updating marketing brochures, sales sheets, newsletters, and digital campaigns
Contribute to website updates and content management
Coordinate trade shows and events, preparing promotional materials and displays
Use tools such as Canva and Adobe Creative Suite, Photoshop to design graphics and track campaign performance
Education & Experience
Minimum of 2 years of experience in a combined administrative & sales support role
Minimum college diploma in business administration, marketing, or related field
Experience in HVAC, manufacturing, distribution, or technical sales preferred
Experience with Spire Accounting Software or similar accounting software
Knowledge of marketing platforms and tools
Skills & Competencies
Proficient in Microsoft Office (Excel, Word, Outlook)
Familiarity with ERP systems (QuickBooks, NetSuite, SAP, Spire) and CRM tools
Excellent organizational skills and strong attention to detail
Ability to work independently and manage multiple priorities
Strong communication skills, both written and verbal
Ability to collaborate with cross functional teams
