About this Position:



This position will be scheduled for 40 working hours, Monday - Friday between the operating hours of 9:00 AM (PST) - 6:00 PM (PST). This position can be based out of any province in Canada. Please note travel may be required within Canada and the USA. At this time, we can only consider applicants with Canadian permanent residence or citizenship status. The Role:



This position is for a highly skilled and experienced Payroll Implementation Specialist to join our remote team! The Specialist plays a dual role in delivering both implementation and payroll processing expertise to clients. On the implementation side, the Specialist leads the setup, configuration, and rollout of ADP Workforce Now (WFN) and/or UKG payroll and time & attendance systems. This includes aligning system functionality with business requirements, union or non-union rules, and Canadian compliance standards. Collaborating closely with HR, Payroll, IT, and Finance teams, the Specialist designs and deploys scalable, efficient, and accurate workforce management solutions.

In parallel, the Specialist provides comprehensive end-to-end payroll processing support. Responsibilities include running regular and off-cycle payrolls, preparing and submitting ROEs, and managing year-end processes such as T4 issuance, taxable benefit reconciliation, and compliance reporting. The role is critical for ensuring payroll accuracy, maintaining audit readiness, and serving as a go-to resource for resolving payroll-related issues.

Qualifications:



Payroll compliance certification (e.g., PCP or CPM through the National Payroll Institute). 5-10 years of experience implementing or configuring ADP Workforce Now and/or UKG. 3-5 years of running end to end payroll processing. Deep understanding of Canadian payroll legislation, time tracking rules, and pay period processing. Experience configuring unionized and non-unionized time rules, collective agreement entitlements, and statutory pay. Hands-on experience with data imports/exports, system integrations, and audit controls. Strong project coordination, stakeholder communication, and change management skills. Proficiency in Excel and payroll/time data manipulation. Comfortable working in fast-paced, cross-functional environments with tight deadlines.

Preferred Qualifications:



Experience integrating with external tools (e.g., finance systems, benefits platforms) Familiarity with GL interfaces and payroll costing across multiple entities or departments Experience supporting multi-phase rollouts and managing post-implementation enhancements Knowledge of payroll analytics and timekeeping reports for audit and workforce management

Key Responsibilities:



System Implementation & Configuration



Lead the end-to-end implementation and configuration of ADP Workforce Now and/or UKG modules for Payroll and Time & Attendance. Gather, document, and translate business and compliance requirements (e.g., union rules, leave accruals, shift differentials, stat holidays) into system configurations Configure pay groups, frequencies, pay codes, earnings/deductions, time rules, approval workflows, scheduling logic, and GL mappings in accordance with Canadian/USA legislation and internal policy Set up and validate payroll cycles, ROE codes, tax setups, and accruals to ensure accuracy and compliance Integrate time collection devices (e.g., biometric scanners, mobile/web clocks) with time tracking and payroll systems Liaise with Payroll, Finance, HR, Operations, IT to ensure accurate data mapping and payroll-to-GL reporting Support system integrations between Payroll, Finance, HR, Operations, IT, and external vendors for cohesive data flow Create custom queries, analyze system data, and design automated reporting processes to support payroll, time, and attendance metrics Provide Payroll Operations & Client Support by supporting clients in the end-to-end processing of payroll, including regular, off-cycle, and retroactive runs, ensuring timeliness and accuracy Provide guidance and hands-on support with payroll reconciliations, adjustments, and validation processes throughout the implementation and stabilization phases Assist clients with T4 generation, reconciliation, and filing, ensuring compliance with CRA and provincial standards Coordinate year-end activities, including bonus runs, vacation carryover validation, taxable benefit reporting, and year-end tax slip processing (e.g., T4, T4A, RL-1) Address and resolve complex payroll inquiries related to earnings, deductions, taxable benefits, ROEs, and statutory reporting Ensure payroll outputs are audit-ready, accurately reflect system configuration, and align with client-specific policies Partner with internal teams and clients to troubleshoot issues related to system calculations, year-end tax configurations, and data integrity Provide best practice recommendations to clients on maintaining ongoing payroll compliance and system usage post-go-live

Process Optimization & Documentation



Analyze and optimize payroll and time-related processes, such as timecard approvals, overtime rules, and job costing Collaborate with HR on upstream processes that impact payroll (e.g., onboarding, job changes, terminations) Create and maintain SOPs, training materials, process documentation, and workflow maps for payroll and timekeeping users Support the development of self-service functionality and improved manager/employee experience in ADP/UKG

Testing, Validation & Go-Live



Coordinate and execute data migration from legacy systems, ensuring clean data and system alignment Lead testing activities, including unit, integration, and parallel payroll runs; validate outputs and troubleshoot discrepancies Run end-to-end payroll and time cycles during parallel testing to ensure system reliability prior to go-live Collaborate with stakeholders to support cutover planning, go-live execution, and hyper care phases

Training & Support



Train payroll administrators, managers, and end users on timekeeping, payroll processing, exception handling, and validation steps Provide post-go-live support, system monitoring, and issue resolution Identify and implement continuous improvements based on user feedback and system performance

Compliance & Reporting



Ensure ongoing compliance with CRA, provincial employment standards, and union agreement requirements (e.g., EI, CPP, vacation pay, overtime) Collaborate on payroll calendar setup, year-end processing, and tax form generation (e.g., T4s, ROEs) Develop and maintain reporting solutions for payroll validation, reconciliation, audit, and compliance tracking

Soft Skills & Collaboration



Client-facing and self-managed, with the ability to work independently or in project teams Collaborate with HR, Payroll, IT, and Finance stakeholders to deliver a unified system experience Adapt to changing priorities, manage multiple implementation phases, and support multi-entity environments
