The Housing & Leasing Coordinator (HLC) is responsible for the overall operations and tenant experience within our off-campus student housing community. This includes oversight of leasing, tenant relations, administrative functions, financial tracking, maintenance coordination, and staff supervision. The HLC plays a pivotal leadership role in ensuring that day-to-day operations align with Campus Living Centres' standards and goals.
2. Core Responsibilities
Leasing, Marketing & Tenant Relations
Oversee leasing processes and ensure timely lease execution.
Develop and implement strategies to maximize occupancy and retention.
Manage marketing efforts aligned with target demographics and market trends.
Coordinate internal promotional campaigns and leasing events.
Maintain positive tenant relations by addressing inquiries, concerns, and complaints in a respectful and timely manner.
Administrative Operations
Maintain detailed logs for communication, complaints, and daily operations.
Organize and manage all resident files and leasing documentation.
Implement and update site-specific policies in alignment with corporate guidelines.
Financial Management
Monitor and control operational revenues and expenses.
Ensure rent collection procedures and account receivable controls are followed.
Submit monthly financial and performance reports accurately and on time.
Maintenance & Facilities
Conduct regular property inspections to identify and address maintenance needs.
Coordinate service requests and vendor work to ensure quality standards.
Monitor maintenance costs and approve vendor invoices in compliance with budget.
Human Resources & Supervision
Supervise part-time and full-time staff, fostering a team-focused environment.
Ensure all staff follow legislative and company policies, including Health & Safety.
Provide leadership and delegate tasks appropriately to meet operational needs.
Health & Safety Compliance
Ensure compliance with the Occupational Health and Safety Act (OHSA).
Provide access to and enforce the use of required PPE and training.
Maintain up-to-date WHMIS documentation and safety data sheets.
Promote a safe and hazard-aware working environment for all staff.
3. Qualifications
Education:
Post-secondary education in Business, Property Management, Hospitality, or a related field.
Experience:
Minimum 2 years in housing, leasing, or property administration, ideally in student or multi-residential housing.
Skills & Abilities:
Strong verbal and written communication skills.
Excellent organizational and time management abilities.
Leadership and staff supervision experience.
Decision-making skills with the ability to manage multiple projects.
Working knowledge of the Residential Tenancy Act (RTA) is required.
Experience in lease negotiations and tenant documentation processes.
