OPPORTUNITYThe Leasing Coordinator will be a key member of the Fengate Real Estate team. This role will take on a hybrid of lease administration duties and some lease transaction related duties, driving revenue for the commercial real estate portfolio. Reporting to the Associate Vice President of Leasing, the selected candidate will be responsible for the day-to-day administrative activities of the Leasing Department as well as working on some vacancy and expiring tenants across office, industrial, and retail assets primarily located in the Greater Toronto Area.KEY RESPONSIBILITIES

  • Support to the Leasing team, Property Management & Asset Management Team.
  • Tracking of key dates and timelines of existing and new leases.
  • Updating and modifying internal tracking spreadsheets.
  • Information input into company databases.
  • Organize and maintain internal virtual and physical filing systems.
  • Property tours (as needed).
  • Broker relations.
  • Tenant meetings (as needed).
  • Internal communication with other departments.
  • External communication with tenants, brokers, vendors, etc.
  • Work closely with real estate agents to obtain up-to-date market information and trends.
  • Prepare lease deal analysis together with the AVP of Leasing and Asset Management.
  • Prepare various lease documentation, i.e., offers, waivers, letters, etc.
  • Process invoices (as needed).
  • Special events and marketing co-ordination specific to tenants and buildings.
  • Assisting with the annual budget process.
  • Additional tasks as required.
RequirementsKEY QUALIFICATIONS
  • Post-Secondary education specializing in Real Estate, Economics, Geography, Urban Planning, Business, or a related field.
  • Valid real estate license registered with RECO (strongly preferred), or in the process of obtaining.
  • Valid driver\xe2\x80\x99s license.
  • Minimum 3 years of Commercial Real Estate experience primarily within Industrial and Office asset classes in a leasing capacity.
  • Ability to travel.
  • Organization skills:
  • Ability to prioritize assignments.
  • Ability to follow process and procedures.
  • Ability to be proactive vs reactive.
  • Ability to keep trackers and databases up to date.
  • Ability to time manage days/weeks accordingly.
  • Ability to maintain the internal database for Leasing Dept.
  • Ability to track/monitor key internal/external dates.
  • Attention to detail.
  • Communication - Strong written and oral communication (professional emails and appropriate mannerism when speaking with tenants, brokers, vendors).
  • Advanced knowledge in Microsoft Office (excel, word, PowerPoint, DocuSign, and Adobe)
  • Knowledge of standard industry leasing practices.
  • Knowledge of leasing documentation - Reading and understanding leases with knowledge of commonly used specialty clauses (Options, Rents, Exclusions, etc.)
  • Knowledge of Real Estate Brokerages & Commissions - Knowing market commission rates for different asset classes.
  • Lease Abstracts - Ability to extract key information from Leases into organized spreadsheets and databases.
  • Yardi knowledge (Preferred).
  • Information input.
  • Information look-up.
  • Budgets.
  • Deal Manager (Yardi) (Preferred).
  • Simple operations of the functions.
  • How to navigate, update and extract/manipulate information.
  • How to enter transactions for approval.
  • Ability to work under pressure, deal with multiple deadlines, effectively handle stressful situations, work with minimal supervision/direction.
  • Qualitative and quantitative analytical skills i.e., Net Effective Rents, Cash Flows, PV Calculations.

LOCATIONThe position will be based out of the Oakville office.
