The House Manager is responsible for overseeing the day-to-day operations of the house including overseeing staff, administering payroll system, and safety and security.
Duties and Responsibilities:
General
Develop and implement employee, resident and visitor access protocols (identification of visitors, sign in/out, etc.) including the distribution and return of keys/fobs and process for changing of access codes;
Work with the Director of Human Resources and the Property Manager to ensure a safe working environment for all employees and volunteers including:
Developing and implementing workplace health and safety policies;
Developing a fire plan and running fire drills;
Communicating regularly with the Director of Human Resources, the Volunteer Coordinator, Director of Property Management, and the Director of Residency regarding any concerns or requests about safety, security, or general house cleaning or decorating.
Coordinate with staff and volunteers to ensure the house and yard are orderly and clean;
Work with the property manager to resolve any safety issues and complete any decorating projects (e.g., hanging paintings, curtains etc.);
Complete annual house walk-through with Property Manager to identify issues to be addressed (painting, reorganization, repairs etc.);
Work with the Director of Residency to coordinate move in and move out procedures.
Financial
Ensuring timely payment of bills, and administration of compensation for all paid employees on a regular basis;
Under the supervision of the Treasurer, manage cash flow including bank accounts and petty cash;
Work with the Kitchen Manager to manage day-to-day budgets;
Pay bills and invoices for the organization including hydro, water, internet, telephone, insurance, property tax, repairs and capital projects;
Support the Treasurer in the development of an annual budget;
Maintain financial records for the organization and support the preparation of the annual tax return;
Issue financial statements;
Complete payroll;
Maintain payroll records and submit payroll for direct deposit;
Ensure that all payroll forms including tax forms are complete and up to date;
Monitor and administer proper deductions (E.I., CPP, etc);
Work with Treasurer to ensure distributions of T4s and other applicable tax slips;
Under the oversight of the Treasurer, provide monthly bank reconciliation.
Maintain donor database
Manage petty cash
Administrative
Participate on the Residency Committee and attend monthly Board meetings;
Support the Director of Human Resources in the development and implementation of health and safety policies;
Prepare reports for government officials as required;
Oversee & preparation of payroll, scheduling when necessary;
Ensure government remittances are done accurately and on time;
Maintain personnel records;
Maintain bookkeeping records, pay monthly bills, receive & record monthly revenues.
Qualifications:
Experience in and knowledge of workplace safety (first aid, fire safety, WHIMIS);
Good communication and interpersonal skills required;
Bookkeeping or accounting experience;
Knowledge of Sage software an asset;
Knowledge of Ceridian/Dayforce payroll system an asset;
Good people skills and organizational skills.
