Position Overview

Reporting to the Lead - Health Information Services or Manager Health Services, the Health Information Records Clerk is responsible for the management of an efficient admission/discharge/transfer (ADT) system. Performs record processing ensuring that organized health records are maintained and is accountable for the correct identification including filing of patient reports along with the maintenance of the health record deficiency system in accordance with regional standards. The Health Information Records Clerk provides facility support for retrieving health information, ensuring timely access, maintaining an up to date chart location and ensuring secure storage. Also provides general office administration support to the Health Information Services department while maintaining confidentiality in all matters relating to clients, staff and the organization. The incumbent works co-operatively in a matrix structure to support the functions of Health Information Services.


The incumbent exercises the appropriate level of initiative and independent judgment in determining work priorities, work methods to be employed and action to be taken on unusual matters. The position functions in a manner that is consistent with the mission, vision and values; and the policies of Southern Health-Sante Sud.

Sous la responsabilite du Chef - Services d'information sur la sante ou du Gestionnaire Services de sante, le(la) Commis - Services d'information a la sante est charge de la gestion d'un systeme efficace d'admission, de sortie et de transfert (ADT). Il (elle) traite les dossiers en veillant a ce que les dossiers medicaux organises sont tenus et il(elle) est responsable de l'identification correcte et du classement des rapports des patients, ainsi que du maintien du systeme d'information sur les deficiences en matiere de sante conformement aux normes regionales. Le(la) commis apporte son soutien a l'etablissement pour la recuperation des informations sur la sante, l'acces rapide a ces informations, la mise a jour de l'emplacement des dossiers et le stockage securise. Il(elle) fournit egalement un soutien administratif general au departement de services d'information sur la sante, tout en preservant la confidentialite pour toutes les questions relatives aux clients, au personnel et a l'organisation. Le(la) titulaire travaille en cooperation dans une structure matricielle pour soutenir les fonctions des services d'information sur la sante.


Le ou la titulaire du poste beneficie d'un niveau d'initiative approprie et fait preuve d'un jugement independant pour determiner les priorites de travail, les methodes de travail a utiliser et les mesures a adopter pour traiter les questions inhabituelles. Les fonctions du poste sont exercees d'une maniere conforme a la vision, a la mission, aux valeurs et aux politiques de Southern Health-Sante Sud.

Grade 12 Education or equivalent. Completion of a Medical Office Assistant Program. Completion of a recognized Medical Terminology Course. Other suitable combinations and experience may be considered.

Proficiency of both official languages is essential (English/French). Demonstrated knowledge of electronic health records. Knowledge of the Personal Health Information Act (PHIA) and other healthcare related legislation. Proficiency in Microsoft Office applications and Email/Outlook. Accurate keyboarding/typing skills, with minimum 40 wpm. Demonstrated ability to provide a high level of attention to detail and accuracy. Demonstrated ability to work in a fast paced and changing environment. Demonstrated approachable and welcoming demeanor. Demonstrated written and oral communication skills. Physical Requirements

Health and physical ability to perform routine filing (i.e. lifting, stretching, bending, walking while carrying multiple files). No hazardous or significantly unpleasant conditions. May work occasionally evenings and weekends as necessary. May be required to travel to other regional facilities if required by the duties of the position.
