ABOUT THE POSITION The Guest Travel Coordinator is primarily responsible for efficiently and effectively making travel and accommodations bookings for invited guests within budget. In addition, the Guest Travel Coordinator shares in hosting and support duties for all invited guests with the Guest Services Manager. Qualifications: \xe2\x80\xa2Experience booking travel and accommodations for large groups. \xe2\x80\xa2Experience with project management and a demonstrated ability to meet deadlines. \xe2\x80\xa2Proven experience working in a customer service focused environment. \xe2\x80\xa2Commitment to the principles of justice, equity, diversity, and inclusion. \xe2\x80\xa2Outstanding communication and interpersonal skills. \xe2\x80\xa2Strong decision-making skills and a results-driven approach. \xe2\x80\xa2Highly organized, focused, and able to work within tight deadlines. \xe2\x80\xa2Attention to detail with a focus on systems and structures. \xe2\x80\xa2Fan of the arts; Passion for film, and filmmaking is an asset. \xe2\x80\xa2Experience working with volunteers is an asset. \xe2\x80\xa2Experience working with an arts festival an asset. \xe2\x80\xa2Familiarity with scheduling software, and Microsoft Office. \xe2\x80\xa2Availability to work evenings/weekends/stat holidays and extended hours as required. \xe2\x80\xa2Valid Class 5 BC Driver\xe2\x80\x99s license. The Guest Travel Coordinator is responsible for: \xe2\x80\xa2Booking guest travel, transportation, and accommodation for the festival. \xe2\x80\xa2Ensuring internal staff are up to date on guest availability, travel dates, and accommodation needs. \xe2\x80\xa2Connecting with guests ensuring they have all the information they need to enjoy their festival experience including itineraries, access to events, transportation arrangements, and local sites and tourist information. \xe2\x80\xa2Ensuring all guest information, including contact and travel, is kept up to date in database. \xe2\x80\xa2Being a point of contact with the host hotel. \xe2\x80\xa2Effectively manage the travel and accommodation budgets for all programs. \xe2\x80\xa2Provide data entry support to the Guest Services Manager in busy periods. \xe2\x80\xa2Supporting guest accreditation processes. \xe2\x80\xa2Providing in-person hosting and guest support in the Guest Office during the festival.
