The Department of History is one of the largest history departments in North America and is internationally renowned. Working under the direct supervision of the Department Manager, the general direction from the Graduate Administrator and the Associate Chair, Graduate, the Graduate Assistant provides administrative support for all aspects of graduate admissions. The incumbent will support the front line activities and act as the first point of contacts for general inquiries, provide admission support and financial aid and/or award support for current and prospective students. In addition, the incumbent will also coordinate the recruitment, training process of Teaching Assistants (TAs).

Your responsibilities will include:

  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Scheduling appointments for prospective students, applicants, and current students to address individual needs
  • Providing detailed information regarding admission requirements to prospective students and applicants
  • Providing detailed information on processes, policies, and procedures
  • Providing detailed information regarding financial aid issues
  • Disseminating program materials to prospective students and applicants
Essential Qualifications:
  • Bachelor\'s Degree or acceptable combination of equivalent experience.
  • Two (2) years\' related experience in an academic environment including experience with graduate student-related practices, procedures, and program.
  • Experience providing academic program information to graduate students.
  • Experience working with collective agreements and financial reports and payroll.
  • Experience overseeing student admissions/funding/awards processes/administration.
  • Experience with teaching assistant administration and relevant practices and procedures especially in CUPE 3902 Units 1 and 3.
  • Experience with organizing logistics for large special events.
  • Demonstrated experience working with and creating databases, preparing and analyzing statistical reports.
  • Experience with uploading information to websites and maintaining websites.
  • Experience working with a diverse group of faculty and students and ability to maintain flexibility in light of the challenges of working with disparate groups of people, while juggling competing priorities.
  • Strong presentation skills, excellent verbal and written communication skills.
  • Be a detail oriented individual; excellent time management; able to follow specific instructions.
  • Excellent organizational and interpersonal skills.
  • Excellent problem-solving, organizational and administrative skills.
  • Be able to create a welcoming environment for students to ask questions and receive a clear and accurate answer.
  • Excellent customer service skills, and interpersonal skills, with the ability to communicate effectively with students, staff and faculty.
  • Solid working knowledge of a University student information system (preferably ROSI,ROSI Express and Degree Explorer).
  • Demonstrated advanced skills in using MS Office, especially Access and Excel (must be able to build and use macros), desktop publishing programs, and Mail Merge.
Assets (Nonessential):
  • Familiarity with the Faculty of Arts and Science, the School of Graduate Studies practices and procedures would be considered an asset.
