The Department of Cell & Systems Biology promotes research and teaching in some of the most dynamic and vital areas of biological research. We facilitate the pursuit of cutting-edge research in the molecular life sciences and systems biology and embrace new methodologies and state-of-the-art technologies. Located in downtown Toronto and part of the University of Toronto, one of the world\'s top research universities, our department is an ideal place to work, research and make a lasting impression in the field.

This position will report into the Chief Administrative Officer of Cell & Systems Biology. This position will work as part of a collaborate team providing support to three Associate Chairs, and ensuring that various program and administrative deadlines are met.

Your responsibilities will include:

  • Liaising with students, staff, and faculty to coordinate program activities
  • Checking completeness of applications, and applying established standards when confirming eligibility
  • Providing detailed information on eligibility requirements, procedures and deadlines, and sending out instructions and reminders to Instructors and TAs
  • Responding to enquiries within the defined scope of the role and redirecting as appropriate
  • Creating and updating job postings in the database; coordinating the recruitment and training process for teaching assistants
  • Preparing draft employment letters to Teaching Assistants using templates
  • Tracking and monitoring TA contracts using a spreadsheet, ensuring that offerings match the entitlement hours the department is obligated to offer to Graduate Students
  • Verifying the accuracy and completeness of documents, asking for revisions if needed
Essential Qualifications:
  • AdvancedCollege Diploma (3 years) in Business Administration or Biology or equivalent combination of acceptable education and experience
  • Minimum two years of recent and related experience working in a post-secondary environment, providing program and administrative support
  • Experience updating, maintaining records online platforms and ensuring accuracy
  • Experience with providing information to students and staff on programs and departmental processes
  • Experience working in a busy, fast-paced environment
  • Excellent oral and written communication skills
  • Demonstrated skills in Microsoft Word, Excel, and Power Point
  • Solid working knowledge of a University student information system: ROSI, ROSI Express and Degree Explorer
  • Excellent accuracy and attention to detail
  • Excellent problem-solving, organizational and administrative skills
  • Excellent customer service skills, and interpersonal skills, with the ability to communicate effectively with students, staff, and faculty
  • Excellent time management skills with the ability to meet competing demands
Assets (Nonessential):
  • Familiarity with the Faculty of Arts and Science, the School of Graduate Studies practices and procedures
  • Knowledge of CUPE Local 3902 Unit 1 procedures and policies
