We are seeking a highly organized and professional Front Office Coordinator to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, managing administrative tasks with efficiency and a friendly demeanor. This role requires strong office experience, excellent communication skills, and proficiency in various software tools to support smooth daily operations in a fast-paced environment.
Duties
Greet visitors and clients in a courteous and professional manner at the front desk
Manage multi-line phone systems, directing calls appropriately and providing exceptional customer service
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
Handle appointment scheduling, calendar management, and coordinate meetings
Maintain filing systems, both electronic and physical, ensuring documents are organized and accessible
Assist with clerical tasks such as proofreading, typing, and preparing correspondence
Support bookkeeping activities including basic bookkeeping and financial record keeping
Provide customer support by addressing inquiries promptly and professionally
Manage office supplies inventory and place orders as needed
Ensure the reception area is tidy and welcoming at all times
Qualifications
Proven experience in an office setting, preferably as a receptionist or administrative assistant
Strong computer skills with proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and data entry software
Excellent organizational skills with keen attention to detail
Outstanding phone etiquette with experience managing multi-line phone systems
Prior clerical or administrative experience in a medical or dental office is a plus
Ability to handle multiple tasks efficiently while maintaining professionalism under pressure
Strong organizational skills with the ability to prioritize effectively
Experience with bookkeeping or financial record management is desirable
Demonstrated ability to proofread documents accurately and maintain confidentiality of sensitive information
