About Us



ProDental Yonge is the flagship Shair office -our provider?centric education centre where we're setting the new standard for modern dental care. We're tech?forward (direct?to?provider booking that connects to Curve EHR), hospitality?driven, and serious about long?term patient relationships. This is our first Shair office and the blueprint for how we scale across Canada.

The Role

We're hiring a Front Desk / Patient Experience Coordinator who shares our vision of elevating providers and delivering outstanding care. You'll be the first and last touchpoint of every visit- owning check?in/out, schedule flow, communications, and billing support-while helping refine the systems and playbooks that other Shair clinics will follow. Weekend availability is required (at least Saturdays; both is a plus).

What You'll Do

Deliver a warm, concierge?level welcome; manage check?in/out and maintain a calm, professional reception area. Own schedule flow: confirmations, wait?list fills, same?day opportunities, and effective hand?offs to clinical teams. Use our direct?to?provider booking portal and Curve to manage appointments, update patient profiles, and document communications. Support treatment coordination: present recommended care confidently, schedule phases, and answer general questions. Handle billing/administration: collect co?pays, issue receipts, assist with insurance submissions/predeterminations via dental portals, and follow up on outstanding balances. Communicate clearly with patients by phone, text, and email; resolve issues with empathy and discretion (PHIPA?compliant). Proactively activate recare and hygiene recall; reduce no?shows and optimize provider calendars. Support Shair education initiatives (patient experience pilots, workflow testing, small events) and give feedback to improve our playbooks. Uphold IPAC?adjacent front?of?house standards (screening, signage, reception sanitation) and assist with daily opening/closing checklists.

Requirements

1+ year in a dental or medical front?desk role preferred (new grads from dental admin programs welcome). Weekend availability (at least one weekend day; both days a strong asset). Comfort with EHRs and scheduling systems; Curve experience is an asset. Familiarity with dental insurance workflows (submissions, predeterminations, co?pays) is an asset. Excellent written and verbal communication; professional phone and in?person etiquette. Strong privacy mindset; PHIPA awareness.
Schedule & Availability

Part-time with potential for full-time as our practice grows, on?site; weekday shifts plus weekend coverage (rotating or fixed). Occasional flexibility for Shair education events.
