Responsibilities
Greet visitors, clients, and vendors warmly and professionally, ensuring they feel welcomed and valued.
Manage multi-line phone systems with excellent phone etiquette, directing calls efficiently and taking detailed messages when necessary.
Maintain a clean, organized front desk area, including filing, data entry, and document proofreading to uphold a professional appearance.
Handle scheduling tasks such as calendar management and appointment setting for staff or service providers.
Support office management duties, including supply inventory, mail distribution, and basic bookkeeping using Automotive Shop Software or similar software.
Assist with clerical tasks such as copying, scanning, and managing electronic files.
Provide customer support by addressing inquiries promptly and professionally across various communication channels.
Support administrative functions like data entry, filing systems organization, and document proofreading to ensure accuracy.
Manage office operations related to service appointment scheduling, and maintain the confidentiality of sensitive information.
Coordinate with team members on special projects or tasks requiring strong organizational skills and time management.
Requirements
Proven experience in office management or administrative roles with strong clerical skills.
Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace tools, and data entry systems.
Prior experience working with multi-line phone systems and demonstrating exemplary phone etiquette.
Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Experience in customer service roles with a focus on professionalism and positive communication.
Ability to type quickly with high accuracy; attention to detail for proofreading documents is essential.
