Financial Operations Associate (billing Operations)

Job Description



Role Overview: The purpose of this role is to support the Media Operations team and their clients providing by providing financial, administrative and operational support for the project opening to billing process. Working closely with the Manager of Client Operations, your responsibilities will include: Accountabilities:

  • Creating projects within our Financial system, Dynamics 365 (D365)
  • Receiving vendor invoices and sharing in a timely manner with the appropriate MEDIA team member for coding and sending to AP. Responding to vendor inquiries and following-up on issues of late payments or other vendor questions.
  • Reviewing project budget reports to ensure that the amounts in the system match the amounts showing in client estimates.
  • Updating and maintaining tracking report and sharing invoice drafts generated by the finance team to the appropriate team members.
  • Helping to support the closing of a back-log of old projects by reconciling client quotes to actual hours and vendor invoices that have been logged against a project.
  • Providing additional operational and administrative support as needed
  • Managing and maintaining BCRs
  • Saving appropriate financial documentation to the finance server


Qualifications
  • Post-secondary Degree or Diploma in Business Administration, Accounting, ore related field.
  • Relevant work experience in media delivery or operations.
  • Excel proficiency including the ability to use pivot tables, Vlookups, filtering and a variety of formulas.
  • Highly organized, with a passion for details
  • Previous experience with Dynamics 365 is an asset
  • Excellent time management and ability to help media operations and planning teams meet urgent deadlines.
  • Experience with contract / audit compliance.
  • Ability to work cross-functionally and build relationships with multiple stakeholders.
  • Ability to drive continuous improvement and best-in-class customer service.
  • Strong written and verbal communication skills.
  • Knowledge and proven experience with finance, budgeting, and cost control principles.
