We are currently seeking a full-time Financial Administrative Assistant to join our Operations team. This role provides day-to-day support to a senior associate in managing client business, assists the administrative department as needed, and contributes to company ad hoc events.

Job Duties:



Provide administrative support in the areas of insurance and investments. Act as liaison between clients, advisors, MGAs, carriers, and other financial institutions. Establish and maintain client files and filing systems; log transactions and document actions. Monitor calendars and appointment bookings; schedule meetings involving multiple parties. Enter data accurately into databases and CRM systems. Draft and send professional communications (verbal and written) to follow up on pending business. Prepare documents and process account transactions and openings with confidential client information. Follow up on transactions to ensure smooth facilitation; review pending business. Track business production and generate reports as needed. Support front desk/receptionist during lunch breaks and vacation coverage. Assist with planning and execution of company ad hoc events. Participate in training and educational opportunities to enhance job knowledge.

Skills and Qualifications:



? Minimum 1 year of administrative assistant experience; experience in finance is an asset.

? Excellent written and verbal communication skills.

? Strong organizational, planning, and time management abilities.

? High attention to detail and accuracy.

? Ability to work effectively under pressure and adapt to changing priorities.

? Comfortable working independently as well as in a team environment.

? Proficiency in Microsoft Office Suite; experience with CRM systems is an asset.

? Fluent in English and Cantonese.

? LLQP license or willingness to complete is an asset.
