Duties
Manage data entry related to accounts payable and receivable using QuickBooks and other accounting software
Assist with bookkeeping tasks, including invoicing, billing, and reconciling accounts
Maintain organized filing systems for financial documents and records
Support front desk operations, including answering multi-line phone systems and greeting visitors
Provide excellent customer service by addressing inquiries and supporting client needs
Handle administrative tasks such as proofreading documents, managing calendars, and scheduling appointments
Support medical or dental office administrative functions, including patient record management and appointment scheduling using Google Workspace or similar tools
Perform general clerical duties such as filing, copying, and maintaining office supplies
Ensure accuracy in data entry and document processing through careful proofreading and attention to detail
Assist with other administrative responsibilities as needed to ensure smooth office operations
Qualifications
Proven experience with QuickBooks, Microsoft Office (Word, Excel), and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Previous clerical or administrative experience in an office setting preferred
Experience in customer service roles, particularly front desk or receptionist duties involving multi-line phone systems and phone etiquette
Excellent organizational skills with the ability to manage multiple tasks efficiently
High typing speed with accuracy; proficiency in proofreading documents is a plus
Background in medical or dental office administration is desirable, including familiarity with medical/dental billing or bookkeeping
Strong attention to detail and ability to maintain confidentiality of sensitive information
Ability to work independently as well as part of a team in a fast-paced environment
