File Controller Reports To Licensing Coordinator Job Summary The File Controller is integral to successful service delivery at I have a Chance to Support Service Limited. The incumbent is responsible for the timely, accurate and efficient organization and management of files and documents. They ensure the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed. This permanent full time position reports to the Licensing Coordinator . Job Duties

  • Organize, Maintain, Archive and Coordinate office records and files
  • Controlling access to document by ensuring documents are given only to authorized users
  • Entering and updating company, employee, and client records
  • Accurately and appropriately file correspondence, invoices, and receipts
  • Manage the flow of documentation within the organization
  • File documents in physical and digital records
  • Frequently conduct document audits confirming they are current and accurately reflect recorded evidence
  • Maintain a high level of confidentiality in all interactions
  • Assisting with both internal and external audits.
  • Adhering to regulatory requirements.
  • Ensuring documentation integrity
  • Work with management on different filing methods as required,
  • Eliminate unnecessary or outdated materials, destroying them or transferring them to inactive storage according to file maintenance / legal guidelines
  • Ensuring compliance with best practices and IHACSS policy &procedure
  • Assisting Licensing Coordinator with additional agency documentation as required
  • Other responsibilities and directives as assigned
Job Requirements
  • Diploma or certificate in Information and Records Management
  • 2+ years work experience in similar position.
  • Proficient in Microsoft Office programs (including Word, Excel, and PowerPoint)
  • Ability to work multidisciplinary environment
  • Ability to prioritize and manage conflicting demands
  • Ability to adapt to new technology
  • Excellent written and verbal communications skills
  • Great attention to detail
  • Ability to stay organized Knowledge of filing systems
  • Clear Police Information Check and Intervention Record Check
Work Conditions
  • Operation of desktop computer and peripherals
  • Working in a busy office environment with frequent interruptions
  • Able to lift 25 pounds
  • Moderate daily exposure to stress related to Multi tasking
  • This position is a permanent full-time position, Monday to Friday 8:30 am to 4:00pm
Job Types: Full-time, Permanent Salary: $45,000.00-$51,500.00 per year Benefits:
