Reporting to the maintenance supervisor, the candidate is responsible for assuring the effective functioning of all facilities and for providing an efficient and safe working environment for employees by using best business practices to manage resources, services and processes. The position is involved in both strategic planning and day-to-day building operations.
Major Responsibilities:
1. Responsibility 1 - Building Maintenance (50%)
Coordinate intra-office moves and ensure offices are up to code and meet health and safety requirements.
Oversee maintenance and repair activities and performance of external technicians and service providers.
Ensure work is completed on time, safely and meet quality requirements.
Provide prompt response to requests and issues from internal employees.
Procure any necessary parts and equipment to perform the daily maintenance duties.
Schedule preventative maintenance, respond to urgent maintenance calls and participate in the creation of emergency preparedness plans.
2. Responsibility 2 - Contract Management (30%)
Communicate work orders to contractors and assists management in resolving problems.
Supervise contractors on regular inspections and maintain inspection documentation.
Function as contact person to oversee renovations and projects within facilities.
Provide reports on open and closed work orders and check statuses with the appropriate technician or vendor.
3. Responsibility 3 - Building Security System (20%)
Assist the with card access system and oversee the key system including regular audits.
Assist with organizing the workflow and coordination of activities within the office and other departments.
Skills / Functional Knowledge:
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
Ability to write routine reports, correspondence and to respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
Excellent communication and problem solving skills.
Basic skills with Microsoft Office Outlook, Excel, Word and Power Point.
Physical requirements include stooping, standing, walking, climbing stairs and ladders and ability to lift and carry heavy loads of 50 lbs. or more.
Education / Certification / Experience:
High school Diploma, Professional studies or any other relevant practical experience related to facility management, with five (5) to seven (7) years of experience in a similar position.
Have a valid driver license.
