Position Overview



The Facility Coordinator is responsible for overseeing accommodation and facility support for approximately 70 workers at a job site in Neepawa Manitoba. This role ensures that housing is ready, maintained, and compliant with company standards, while also serving as the primary point of contact for repairs, cleaning, and room readiness. This role will also provide administrative functions for the management staff at the Neepawa hospital project. The position requires strong organizational skills, excellent communication, various administrative tasks and a commitment to supporting site operations with efficiency and professionalism.

Responsibilities



Accommodation Management

Oversee housing arrangements for ~70 workers across three buildings, ensuring rooms are prepared and ready for arrivals. Personally deliver keys to incoming workers, including on weekends. Prepare and issue accommodation contracts, clearly explain housing policies, and respond to inquiries. Conduct room inspections for cleanliness and readiness before arrivals. Collect keys, inspect rooms, and process check-outs for departing workers.
Inventory & Restocking

Conduct monthly inventory checks for all three buildings. Coordinate and perform restocking of rooms with essential supplies. Ensure all rooms are properly stocked before new arrivals. Maintenance & Cleaning Coordination Work directly with building ownership and local contacts to arrange for building repairs. Liaise with local cleaning company on weekly cleanings to address cleaning concerns or issues promptly. Monitor cleaning schedules and ensure accommodation meets company cleanliness standards.
Communication & Reporting

Maintain clear and timely communication with workers, site management, and external service providers. Keep accurate records of occupancy, maintenance requests, and supply usage. Provide regular updates to site management on accommodation readiness, repairs, and logistical needs. Receive and report tenant disputes / complaints.
Administrative Duties

Maintain office supplies Scanning, filing, general office duties Updating documentation to Procore / Sharepoint Taking meeting minutes Completing various spreadsheets, letters, reports Circulating information and/or generating job site documents Digital inventories

Requirements



Previous experience in building facilitation and coordination, (property management, or hospitality preferred) Strong organizational and multitasking abilities. Excellent interpersonal and communication skills. Proficiency in Microsoft Office Suite. Ability to work flexible hours, including weekends. Valid driver's license. Posting requires candidate to be onsite in Neepawa. (Remote work is not available)

NOTE: The is not all-inclusive. Employee may perform other related duties as negotiated and assigned to meet the ongoing needs of the organization.

Job Type: Full-time

Pay: $45,600.00-$47,000.00 per year
