You will play a key role in supporting our restoration department, coordinating projects, and ensuring our operations run efficiently from start to finish.
Responsibilities

1. Work Orders & Job Coordination
Create work orders and organize project details based on job scope and requirements.
Communicate with project managers, dispatch, and customers to schedule visits and confirm appointments.
Maintain detailed internal notes and update scheduling information in the job management system.
2. Scheduling & Dispatch
Monitor project manager calendars to ensure all jobs and site visits are properly scheduled.
Assign technicians to jobs based on availability and workload.
Ensure all relevant job details are included in dispatch notes.
3. Technician & Project Support
Follow up with technicians for job updates and completion confirmation.
Prepare invoices and ensure all job information is accurate before review and submission.
Keep detailed communication logs and job records.
4. Materials & Subcontractor Coordination
Order materials and supplies as required for each job.
Coordinate with subcontractors for specialized work (e.g., flooring, drywall, painting).
Ensure project timelines are maintained and communicate updates to the team.
5. On-Call Scheduling
Prepare and distribute weekly on-call schedules for technicians.
Update dispatch to reflect on-call assignments.
6. Weekly Job & Billing Review
Run reports to identify unscheduled jobs, pending estimates, and incomplete billing.
Follow up to ensure all administrative tasks and project files are up to date.
Qualifications:
Previous experience in an administrative, coordination, or dispatch role (restoration, construction, or service industry experience is an asset).
Excellent organization and time management skills.
Strong communication and multitasking abilities.
Proficient in Microsoft Office Suite and job management software (ServiceM8, Jobber, or similar preferred).
Ability to work independently while supporting a team-driven environment.
