The Job

This position will support the Sr. Manager, Facilities Management in ensuring a safe, secure, comfortable, and efficiently managed work environment. Areas of expertise include facilities and operational coordination, logistics, administrative support.

The Daily

  • Manage the mailroom, reception, pantry, screening room and storage rooms
  • Coordinate with office services vendors for services and equipment including audio visual, projection booth, multifunction devices, records management, coffee/kitchen, interior landscaping
  • Coordinate with property management and follow up on work orders for facilities-related needs such as cleaning requests, after-hours HVAC requests, and repairs
  • Assist Sr. Manager, Facilities Management on projects and issues beyond day-to-day activities, including internal moves, furniture installation, security, construction, and renovations
  • Assist with Facilities-related procurement and accounts payable, including credit card reconciliation, purchase orders, invoice processing, vendor management
  • Other duties as assigned
The Essentials
  • 3-5 years' experience in Facilities Management, Property Management, Administrative, Mailroom services or related field
  • Experience with Outlook, Excel, Word, PowerPoint
  • Strong attention to detail and follow through skills
  • Strong analytical, problem-solving skills
  • Able to multi-task and manage priorities and be flexible to shift priorities
  • Able to communicate thoughts and ideas clearly, professionally, and tactfully, both orally and in writing
  • Able to lift 50lbs independently
  • Ability to self-initiate and work without close supervision in a team and project-oriented environment
The Nice to Haves
  • Post-secondary degree or diploma in related field
  • First Aid & CPR Certification
  • Experience with Ariba or other accounts payable management system
