This regular full-time (35 hours per week) position is available starting October 31, 2022. Hours of work will typically be scheduled between Monday to Friday, between 8:00 am and 10:00 pm. This position is required to work a flexible schedule based on operational needs. Shift days and times may change depending on operational needs. Evening and occasional weekend work will be required. The position is located at the New Westminster campus; and will be required to work at all Douglas College campuses and offsite locations. The Role

Working under the direction of the Manager, Athletics and Recreation Operations, the Sports Facilities Coordinator is responsible for the day to day operations of the Fitness Centre, Athletics, Recreation and Sport Science facilities. The responsibilities includes coordinating facilities scheduling and maintenance, ensuring the safe use of the facilities and equipment, equipment inventory and purchasing, fitness programing, budget monitoring and supervision of student assistants. This role provides exceptional client-centred service on a consistent basis to all stakeholder groups.
Responsibilities

1. Oversees day to day operations and scheduling of the Fitness Centre, Athletic and Recreation and Sports Sciences Facilities
a. liaises with Facilities, Sports Sciences, Athletics and Recreation, Student Engagement, Sports Institute Departments to coordinate facility scheduling and equipment set-up/take-down for instructional use, varsity athletics, intramurals, non-credit programs, community programs and other departmental functions;
b. liaises with College and community users to ensure safe use of equipment and operation of the facilities through communication and implementation of safety procedures;
c. identifies required equipment and services for Athletics and Fitness Centre;
d. maintains a current inventory of equipment and liaises with Purchasing in the purchase of appropriate equipment and services;
e. coordinates routine maintenance and repairs for Fitness Centre, athletic and recreation facilities;
f. performs rudimentary equipment maintenance and facility inspections; keeps a log to record work needed and completed;
g. supervises the daily operation of positions under authority ensuring processes and standards are followed and adequate staffing coverage within existing budget parameters.

2. Performs administrative support functions to facilitate effective operations
a. performs and oversees duties such as responding to inquiries, preparing correspondence and reports or forms and data management as the primary point of contact for the facilities;
b. applies facility and department regulations/policies and ensures that all user groups comply with them;
c. performs semi-annual inventory of facility equipment, supplies and uniforms by reviewing and inspecting equipment/supplies and making purchase recommendations to each department;
d. monitors operating budget and maintains budget records;
e. follows Health & Safety Guidelines in regard to accidents/injuries that occur within the facility;
f. travels to Coquitlam campus to assist with operational, equipment and facility needs.

3. Supervises the daily operation of positions under her/his responsibility
a. assists in hiring, supervising, training, scheduling, and time sheet sign off for student-assistants/student aides;
b. supervises the receiving & recording of towel/locker service fees and maintains files on a database;
c. supervises laundry service and ensures the distribution, laundering, drying, folding and/or hanging towels and uniforms is completed correctly;
d. supervises the issuing of equipment and secures proper identification.

4. Performs administrative support functions to facilitate Athletics and Recreation, Sports Sciences and special event activities
a. plans and implements fitness programming for individuals and groups;
b. collaborates with Sports Sciences Laboratory Technicians in scheduling and facilitating lab services for academic and non-academic groups;
c. participates in the administration of Athletics and Recreation events by performing support functions related to promotion, event management, department fund raising, annual awards banquet, minor official scheduling and training;
d. follows all game/match/ tournament protocols as required by external governing body (PACWEST, NWAC, CCAA, other);
e. plans and prepares promotional materials for academic and non-academic programs;
f. maintains websites, activity bulletin boards, display cases and electronic message boards to keep students informed of Douglas College academic and non-academic information and events.

5. Performs other related duties/projects as assigned
a. assists the Manager, Athletics and Recreation Operations of the department when requested;
b. represents the department at internal and external meetings as requested.
To Be Successful in this Role You Will Need

1. Completion of a degree from a recognized post-secondary educational institution in Sports Science and/or Human Kinetics and/or Recreation together with two years of related work experience in providing support services to Athletics, Human Kinetics and/or Recreation organization(s) or an equivalent combination of education and experience.

2. Excellent communication skills including a good working knowledge of the English language (written and verbal). Demonstrated ability to speak to small and large groups in informal and formal settings. Demonstrated ability to present information and convey appropriate and diplomatic responses to questions under pressure.

3. Demonstrated ability to interact and respond both verbally and in writing in order to deal effectively and tactfully with the public, students, partners and College employees.

4. Experience with and knowledge of fitness related programming.

5. Knowledge of safety procedures for fitness/athletic equipment.

6. Demonstrated ability to critically analyze, reason, and problem solve.

7. Demonstrated planning, co-coordinating, budgeting and organizational skills.

8. Demonstrated ability to develop, establish and maintain good working relationships together with the ability to work independently and as part of the Athletics department.

9. Demonstrated ability to supervise student staff and volunteers to achieve assigned deadlines.

10. Demonstrated ability to work independently, with a minimum of direct supervision, as well as establish and achieve deadlines.

11. Experience with, and knowledge of contemporary web-based communication applications.

12. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), electronic mail, internet applications and database management.

13. Valid B.C. Drivers' license or access to a reliable transportation to accommodate operational activities at all campuses. Some evening and weekend work will be required.
