Job Description


:

The Facilities Coordinator provides administrative support and leads the department accounting activities. The candidate chosen will be in a technological work environment and will report to the Facilities Manager.

What your day will look like:

  • Monitoring of the bill payment process consisting in the creation of new suppliers, purchase requisitions and purchase orders
  • Updating of data with the facilities and project management software (Smartsheet)
  • Filing of documents, compilation and updating of data in the department\'s SharePoint
  • Management of various applications for permits/renewals of certificates (use authorization certificates, insurance certificates etc.)
  • Monitoring of costs related to the various department projects
  • Preparation of forms (new supplier and reciprocal confidentiality agreements)
  • Reconciliation of purchases made with the department\'s corporate credit cards
  • Management of service or warranty calls when required
  • Ordering of certain equipment
  • Issuing of general communications and emails
  • Approval and monitoring of various monthly bills
  • Assistance for the management team of construction and renovation projects
  • Participation in the development and implementation of administrative tools and procedures to improve the efficiency of the department\'s activities
  • Support and assistance for the facilities team members in the Province of Qu\xc3\xa9bec and outside Qu\xc3\xa9bec
  • Performance of various related tasks when required
  • Problem resolution, identification of the causes and reporting to his or her superior in cases that exceed his or her level of responsibility
About you:
  • Excellent ability to communicate in oral and written French and English
  • Ability to progress in a fast-changing environment and perform tasks on time
  • Understanding of accounting processes and procedures
  • Ability to work in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
  • Skilled in learning new software
  • Capacity to be proactive and resourceful
  • Ability to work autonomously and as part of a team

  • Work experience in the technologies sector
  • Knowledge of construction methods and processes (facilities, techniques, materials, standards)
  • Work experience in supporting the management of construction projects

  • Suivi du processus de paiement de factures comprenant la cr\xc3\xa9ation de nouveaux fournisseurs, de requ\xc3\xaates d\'achat et de bons de commande
  • Mise \xc3\xa0 jour de donn\xc3\xa9es avec les logiciels immobilier et gestion de projet (Smartsheet)
  • Classement de documents, compilation et mise \xc3\xa0 jour de donn\xc3\xa9es dans le SharePoint du d\xc3\xa9partement
  • Prise en charge des diverses demandes de permis/renouvellements de certificats (certificat d\'autorisation d\'usage, certificat d\'assurance)
  • Suivi des co\xc3\xbbts li\xc3\xa9s aux diff\xc3\xa9rents projets du d\xc3\xa9partement
  • Pr\xc3\xa9paration de formulaires (nouveau fournisseur et accords r\xc3\xa9ciproque de confidentialit\xc3\xa9)
  • R\xc3\xa9conciliation des achats effectu\xc3\xa9s avec les cartes de cr\xc3\xa9dit corporatives du d\xc3\xa9partement
  • Gestion des appels de services ou de garantie lorsque requis
  • Commande de certains \xc3\xa9quipements
  • \xc3\x89mission de communications g\xc3\xa9n\xc3\xa9rales et courriels
  • Approbation et suivi de diverses factures mensuelles
  • Assistance \xc3\xa0 l\'\xc3\xa9quipe de gestion des projets de construction et de r\xc3\xa9novation
  • Participation au d\xc3\xa9veloppement et \xc3\xa0 l\'implantation d\'outils et de proc\xc3\xa9dures administratives afin d\'am\xc3\xa9liorer l\'efficacit\xc3\xa9 des activit\xc3\xa9s du d\xc3\xa9partement
  • Support et assistance aupr\xc3\xa8s des membres de l\'\xc3\xa9quipe des ressources immobili\xc3\xa8res de la province de Qu\xc3\xa9bec et hors province
  • R\xc3\xa9alisation de diverses t\xc3\xa2ches connexes lorsque requis
  • R\xc3\xa9solution de probl\xc3\xa8mes, identifications des causes et signalement \xc3\xa0 son sup\xc3\xa9rieur pour les cas qui d\xc3\xa9passant son niveau de responsabilit\xc3\xa9
Votre profil :
  • Excellentes aptitudes \xc3\xa0 communiquer en fran\xc3\xa7ais et en anglais, \xc3\xa0 l\'oral comme \xc3\xa0 l\'\xc3\xa9crit
  • Capacit\xc3\xa9 \xc3\xa0 progresser dans un milieu en \xc3\xa9volution rapide et \xc3\xa0 ex\xc3\xa9cuter des t\xc3\xa2ches dans les d\xc3\xa9lais impartis
  • Compr\xc3\xa9hension du processus et des termes du processus comptable
  • Capacit\xc3\xa9 \xc3\xa0 travailler avec la suite Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Habilit\xc3\xa9 \xc3\xa0 pouvoir apprendre de nouveaux logiciels
