This position reports directly to the Vice Dean of the Faculty of Arts. Primary working hours are Monday to Friday, 8:30 A.M. to 4:30 P.M. (35 hours per week); however, due to constantly shifting priorities, flexibility is essential.
This position is instrumental in advancing the strategic vision of the Faculty of Arts through operational excellence. This role impacts operations and service activities across the Faculty of Arts, with its incumbent responsible for all aspects of facility planning, maintenance, and operations, including space planning. The individual ensures a reliable, safe, and well-maintained environment for all Arts faculty and staff while managing high volumes of work with shifting priorities and tight deadlines.
As a change agent and advocate for process and facility improvement, the individual demonstrates strong leadership and inspires performance. They are a collaborative partner, building relationships with Arts faculty and staff, University central service units and counterparts in other faculties, as well as external providers. The individual proactively enhances facility-related processes, develops and implements standard operating procedures, and contributes to essential policy development.
Summary of Key Responsibilities
(job functions include but are not limited to):
Collaborate with central business units to plan maintenance, projects and space planning for UCalgary facilities used by the Faculty of Arts.
Effectively create and manage space utilization plan within the Faculty of Arts.
Provide leadership in facility planning, maintenance, and operations to the Faculty of Arts.
Serve as a resource for colleagues with less experience in facilities management.
Proactively manage inventory of furniture, including storage areas.
Oversee space planning, renovations, and refurbishment initiatives based on Faculty of Arts needs.
Work with internal stakeholders, central service teams, and other UCalgary business units to pilot operational improvement projects.
Research and leverage best practices in operational improvement from internal and external sources, including equivalent postsecondary institutions.
Develop and implement effective communications for in-scope processes.
Monitor internal business processes to ensure consistent adherence and high-quality service delivery, and spearhead the development of strategies to improve university operations.
Establish systems to maintain accurate records, resolve issues efficiently, and escalate facility-related incidents as needed.
Assist faculty leadership (e.g. the Dean, Vice Dean, Associate Deans, Heads, Directors, Managers and Administration) with strategic or special projects supporting Faculty of Arts' strategic planning goals, and operational processes.
Ensure compliance with federal, provincial and University of Calgary safety and wellness requirements, including Emergency Response Plans.
Identify and analyze business needs; develop and oversee goals, objectives, policies, and procedures aligned with the Faculty of Arts strategic plan; keeps abreast of best practices employed at other postsecondary institutions.
Create a service catalog with defined expectations, service level achievements, and continuous improvement initiatives.
Address complex issues and interpersonal interactions with diplomacy and professionalism.
Develop strategies achieve positive stakeholder outcomes.
Foster a culture of process excellence, continuous improvement, and high service standards.
Manage key relationships with UCalgary business units (e.g., Facilities, PMO) to ensure service delivery standards are clearly defined and consistently achieved.
Qualifications / Requirements:
Bachelor's degree in Business Administration, or a related field.
Minimum of 10 years of professional experience, preferably in project management environment, with proven impact on larger institutional operations.
An equivalent combination of education and experience that demonstrates comparable knowledge and abilities may be considered.
Proven progressive leadership skills, with the ability to develop, mentor, manage, and motivate a diverse team and engage internal stakeholders effectively.
Demonstrated ability to leverage data and reporting tools to build business cases and implement continuous improvement strategies.
Demonstrated ability to foster a collaborative, inclusive, and high-performing work environment.
Evidence of strong customer service and contributor engagement across units.
Strong customer-focused mindset, with a commitment to client satisfaction and engagement.
Exceptional ability to navigate complex conversations and manage conflict with tact and professionalism.
Must possess expertise of best practices surrounding facility operations and construction.
Advanced proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and experience with dashboards and collaboration platforms like Teams and Zoom is essential.
Strong analytical, organizational, and problem-solving skills, with the capability to guide a team in developing and implementing innovative solutions.
Ability to prioritize and execute tasks effectively in a dynamic and rapidly changing work environment.
Excellent oral and written communication skills.
Understanding of confidentiality, systems thinking, and the broader institutional context.
Strong aptitude for collaboration with internal business units and external partners.
