Job Description

The primary duties of the incumbent will be to look after the professional and personal needs of the President. She will be responsible for organizing and reconciling the various professional and family aspects of the President and, if necessary, the Executive Committee. This may include coordinating family activities, managing appointments, and helping with the management of personal and professional affairs.

RESPONSIBILITIES

Time management:

- Organise and manage the executive\'s calendar, plan meetings, appointments and business travel while optimising his or her schedule;
- Organise travel according to the personal calendar provided, plan medical, school and other personal appointments while optimising the use of time within the constraints of the professional diary;
- Organise childcare and supervised travel (taxi or other) for members of the Chairman\'s family and have reliable resources (childcare, tutoring, school trips).

Communication :

- Act as the main point of contact between the Executive and internal and external parties. Handle telephone calls, emails and correspondence, ensuring clear and professional communication;
- To act as a point of contact for the Chairman and his family members when travelling and/or under business constraints. This may involve managing incoming and outgoing communications, including telephone calls, emails, etc ;

Document preparation: Writing, editing and formatting documents such as reports, presentations, memos and other professional documents. Ensuring the confidentiality of sensitive information;
Event organisation: Coordinating and organising internal and external events, including meetings, seminars and business lunches ;
Travel management: Organising business travel, including booking flights, accommodation and transport, ensuring the executive\'s efficiency and comfort;
Expense Management: Tracking and managing business expenses, preparing expense reports as required and ensuring compliance with company policies.

REQUIREMENTS

Hold a Diploma of Vocational Studies (DVS) with an appropriate option or a Diploma of Secondary
(DES) or a diploma or attestation of studies whose equivalence is recognized by the competent
recognized by the competent authority;
At least 5 years\' previous experience as a personal administrative or executive assistant;
Ability to manage several tasks simultaneously with great attention to detail;
Discretion and respect for confidentiality;
Creative and able to propose solutions;
Available to work flexible hours, sometimes on weekends depending on the activity schedule.
