Purpose:
As an Executive & Governance Assistant in International Wealth Management, you will play a pivotal role in ensuring the seamless execution of our Governance and providing essential support to our leadership team. You will be responsible for handling a wide range of administrative tasks, with a focus on efficiency, confidentiality, and professionalism. Accountabilities:

  • Executive Support: Provide high-level administrative support to executives, including the handling of sensitive information, managing their calendars, and coordinating meetings and appointments.
  • IWM Governance Support: assist in the planning, material preparation and coordination of executive visits to countries and offsites serve as primary point of contact for IWM governance agenda, demonstrating professionalism and strong communication skills in person, via email, and over the phone.
  • Travel Arrangements: Coordinate domestic and international travel for executives, including flights, accommodations, and itineraries.
  • Document Management: Prepare and edit reports, presentations, and other documents, ensuring accuracy and adherence to company guidelines. Prepare, edit and distribute minutes of meetings for IWM Governance meetings.
  • Calendar Management: Proactively manage executive and IWM Governance calendars, schedule meetings, and prioritize appointments to maximize productivity.
  • Event Coordination: Assist in planning and organizing employee and client events, conferences, and seminars, handling logistics, and ensuring smooth execution.
  • Expense Management: Process and track expense reports, ensuring timely reimbursement and compliance with company policies.
  • Confidentiality: Maintain strict confidentiality of sensitive information, including client data and company records.
  • Team Collaboration: Work closely with other members of the support team to ensure the overall efficiency of the office.


Qualifications:

  • Bachelor\'s degree or equivalent work experience.
  • Fluent in English & Spanish required.
  • Previous experience in a similar role, preferably within the financial industry.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and ability to prioritize tasks effectively.
  • A professional demeanor and the ability to represent the company to clients and partners.
  • Discretion and the ability to handle sensitive information with integrity.
  • Knowledge of financial terminology and concepts is a plus but not required
