From managing capital construction and renovations, providing utilities and energy management, to delivering student and campus services, Facilities and Operations works behind the scenes to make the university a great place to study, learn and work.PositionThe Executive Coordinator position offers a unique opportunity to provide senior-level administrative support to our dynamic team, particularly assisting an Associate Vice President in Facilities & Operations. You will play a pivotal role in ensuring smooth operations and successful project delivery, aligning our administrative services with our goals and objectives. Your skills are needed to drive our success!DutiesIn this role, you will take on a pivotal position in our organization, overseeing a wide range of tasks to ensure seamless daily operations:

  • Managing access to calendars and schedules, prioritizing meetings and events.
  • Coordinating meetings and conferences, including compiling and distributing materials, recording minutes, and ensuring action item follow-up.
  • Offering clerical support, formatting, editing, and proofreading documents to uphold our professional standards.
  • Acting as the central point of contact for the business unit, ensuring timely responses to requests for information.
  • Coordinating, collecting, and sharing information for submission to various governance committees.
  • Drafting and generating routine communications, as well as composing correspondence for signature.
  • Preparing standard and ad-hoc reports for the business unit, running and analyzing reports and queries.
  • Training other staff in administrative processes and providing guidance to fellow administrative team members.
  • Liaising with other administrative staff to facilitate information flow between units.
Minimum Qualifications
  • Two (2) year Diploma in Office Administration or equivalent;
  • Minimum of 3 years of related experience at a senior administrative level;
  • Intermediate to expert level of competence using Google Suite and database applications;
  • Proficiency in proofreading, grammar skills, attention to detail.
Preferred Qualifications
  • Experience in administration in a large unionized organization considered an asset
  • Proficient knowledge of University of Alberta policies and procedures is preferred
