Description and RequirementsWork Location: HybridPosition Type: Contract- 12 monthsLocation: Regina, SaskatchewanThe Executive Coordinator plays a key role within the business unit by managing and executing essential administrative functions that enhance the effectiveness of the Senior Leadership Team member and the overall team. This position involves high levels of communication, confidentiality, and professionalism. The successful candidate will be adept at prioritizing tasks, acting as a liaison within and outside the organization, and coordinating a variety of meetings and functions with precision and attention to detail.Responsibilities:Exercise discretion in delivering and managing communications across the business unit, ensuring that information is shared promptly and appropriately. Draft and review documents and communications to maintain the professional tone and integrity of internal and external messaging.Serve as the primary point of contact for external inquiries, providing timely and professional responses to partners, clients, and other stakeholders. Maintain strong relationships with contacts by offering excellent service and follow-up.Deliver high-quality, efficient administrative support to the SLT member, including calendar management, travel arrangements, expense reporting, and prioritization of competing tasks. Act as a trusted partner, anticipating needs and enabling the SLT member to focus on strategic priorities.Facilitate smooth operations by directing workflow, coordinating resources, and bridging communications between the SLT member, internal teams, and external partners. Proactively resolve issues and streamline processes to enhance productivity.Plan and coordinate meetings, conferences, and events, including scheduling, preparing materials, arranging logistics, and ensuring all elements are in place for a successful execution.Qualifications:

  • In-depth knowledge of administrative best practices, workflows, and procedures, with the ability to apply them in a fast-paced, dynamic environment.
  • Advanced proficiency in standard corporate software applications (e.g., Microsoft Office Suite) and high comfort with technology; ability to adapt quickly to new tools and systems.
  • Exceptional organizational and multitasking skills, with the ability to independently coordinate responsibilities and activities across multiple projects and priorities.
  • 2-5 years of relevant experience in administrative roles supporting senior executives, or an equivalent combination of education and experience that provides the required knowledge and skills.
  • Strong written and verbal communication skills, with the ability to engage professionally and maintain confidentiality at all times.
