We're looking for a sharp, proactive Executive Assistant to support a fast-moving CEO managing multiple growing businesses. You'll operate as the CEO's right hand--keeping communications clear, logistics streamlined, and time focused. You thrive in a fast-paced, high-performance environment, anticipate needs before they arise, and love creating structure behind the scenes. This is not just a task role--it's a leadership-support role.
Key Responsibilities
Email Management
Manage inbox daily and prioritize urgent items
Draft, reply, and summarize communications
Follow up on delegated tasks
Maintain clear folder structure and efficient workflow
Calendar & Scheduling
Own and optimize the CEO's calendar
Schedule internal and external meetings
Protect strategic focus time, family blocks, and EOS sessions
Send reminders and meeting briefs
Travel Planning
Research and book all travel details
Create clear itineraries
Coordinate with spouse and team for joint travel
Track frequent flyer programs, visa needs, and loyalty points
Meeting & Project Coordination
Prep for meetings and investor calls
Take and organize meeting notes
Document action steps and follow-ups
Assist with internal systems like Trainual and shared folders
Errands & Personal Support
Coordinate appointments, orders, RSVPs, and logistics
Support with household/personal errands
Assist spouse with occasional logistics
Maintain office supplies and run local errands as needed
Must have drivers license and clean driving record
