Overview


We are seeking a highly organized, proactive, and resourceful

Executive Assistant

to support our CEO in a fast-paced environment. This is a high-visibility, demanding role where you will serve as the CEO's right hand, handling everything from calls and claims to digital tools and personal errands. The ideal candidate is sharp, tech-savvy, and thrives on solving problems quickly while maintaining discretion.

Responsibilities



Provide direct administrative support to the CEO, including calendar management, scheduling, and travel coordination Place and manage calls on behalf of the CEO, including follow-ups and documentation Handle insurance claims, applications, and paperwork with accuracy and efficiency Submit and track applications, payments, and other workflows using platforms like Wise and Rotessa Coordinate projects and tasks in HubSpot and Google Workspace (G Suite) Create and edit documents, reports, and presentations, including light design work in Canva Assist with customer management, bookings, and scheduling through platforms like Housecall Pro Support online communications, including Facebook page management and engagement Leverage AI tools such as ChatGPT and Gemini to draft documents, research, and streamline workflows Drive, pick up, and drop off items or documents as required Handle sensitive matters with professionalism, confidentiality, and judgment

Qualifications



Minimum 3-5 years of proven experience as an Executive Assistant or in a high-responsibility support role Bachelor's degree in Business, Communications, or related field preferred Advanced proficiency in:
- HubSpot CRM
- Google Workspace (G Suite)
- Microsoft Office Suite
- Canva for presentations and design
- Housecall Pro for scheduling and customer management
- AI tools such as ChatGPT and Gemini
- Financial/payment platforms like Wise and Rotessa
- Social media platforms, especially Facebook

Demonstrated ability to manage executive-level calendars, travel, and projects Strong problem-solving ability and independence in decision-making Valid driver's license and comfort driving in the city Full availability for in-office work daily (no remote or hybrid option)

Job Types: Full-time, Permanent

Pay: $65,000.00-$74,737.86 per year
