We are seeking a highly organized and experienced

Executive Assistant

to provide comprehensive support to the

Chief Executive Officer (CEO)

. This position requires exceptional organizational skills, discretion, and the ability to work as a trusted strategic partner within a fast-paced and evolving financial technology environment.

Position Overview



The Executive Assistant plays a key role in ensuring the seamless operation of the CEO's office by managing complex calendars, communications, travel, and confidential projects. Acting as a central coordination point between internal departments and external partners, this role supports the execution of strategic initiatives, meetings, and business development activities that drive Sagewise Financial's continued growth.

This position requires a proactive professional who thrives in a dynamic environment, can balance competing priorities, and consistently demonstrates judgment, integrity, and excellence.

Key Responsibilities



Executive Support & Coordination



Manage complex calendars and daily schedules for the CEO, ensuring alignment across internal teams, partner engagements, and strategic initiatives. Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the CEO with accuracy, professionalism, and discretion. Coordinate logistics for board meetings, leadership sessions, and company events, ensuring all materials, minutes, and communications are prepared on time. Attend key meetings when required, prepare concise summaries and executive notes, and ensure all follow-up actions are tracked to completion.

Strategic & Operational Support



Serve as a liaison between the CEO's office and internal departments (Marketing, Operations, Compliance, and Partner Relations), ensuring clarity, accountability, and momentum on all active projects. Coordinate communications and activities with external partners, investors, and stakeholders. Assist in the preparation of presentations, briefing materials, and reports for internal and external meetings. Support confidential financial projects, including

budget planning, expense monitoring, and reporting.

Conduct research and compile data to support executive decision-making.

Communications & Project Management



Draft and edit professional correspondence, internal announcements, and strategic updates on behalf of the CEO. Track key deliverables and deadlines across business units, ensuring smooth execution of corporate initiatives. Coordinate travel logistics, itineraries, and meeting arrangements as required. Manage special projects and other executive-level assignments with minimal supervision.

Core Competencies & Qualifications



Experience:

5-10 years of experience supporting C-suite or senior executives, ideally in

mortgage administration, insurance, or fintech sectors.

Industry Knowledge:

Understanding of

payment solutions

and financial operations is strongly preferred.

Organization & Multitasking:

Proven ability to manage multiple calendars, priorities, and stakeholders simultaneously.

Communication:

Exceptional written and verbal communication skills; able to distill and present complex information clearly.

Technical Skills:

Advanced proficiency in

Google Workspace

and

Microsoft 365

; experience with

Calendly

or similar scheduling tools is an asset.

Discretion:

Handles highly confidential information and business matters with absolute integrity and professionalism.

Initiative:

Anticipates needs, identifies potential challenges, and implements solutions proactively.

Detail-Oriented:

Demonstrates precision and consistency in managing documents, compliance forms, and financial data.

Professionalism:

Represents the CEO and SageWise Financial with poise, diplomacy, and sound judgment across all interactions.
