Job Overview
We are seeking an experienced and highly organized
Executive Assistant
to provide comprehensive administrative support to the CEO and the Board of Directors. This role requires exceptional organizational skills, professionalism, and the ability to manage multiple priorities with discretion and efficiency. The successful candidate will act as a key liaison between the CEO, Board, and external stakeholders, ensuring seamless communication and coordination across all functions.
Key Responsibilities
Provide executive-level administrative support to the CEO and Board of Directors, including calendar, correspondence, and meeting coordination.
Prepare Board materials, record minutes, and track action items with discretion and accuracy.
Coordinate travel, events, and stakeholder meetings, ensuring all logistics are managed efficiently.
Maintain filing and document management systems, ensuring confidentiality and organization.
Oversee day-to-day office operations, including supplies, equipment, onboarding, and vendor relations.
Serve as the primary point of contact for internal and external communications on behalf of the CEO.
Draft and edit documents, presentations, and reports.
Manage expense reports and ensure timely administrative follow-up.
Qualifications
Post secondary business diploma or certificate.
3-5 years progressive experience in a senior administrative role.
Proficient written and excellent communications skills, excellent computer skills using Microsoft office programs.
Excellent organizational skills, the ability to handle sensitive information through a variety of communication mediums from and to outside sources.
Must be reliable, dependable and committed to confidentiality.
Must have a valid driver's license and reliable vehicle.
