Overview


We are seeking a highly organized and proactive Executive Assistant to support the CEO in a dynamic corporate environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to work closely with executive leadership, manage complex schedules, and contribute to the overall efficiency of the organization.

Responsibilities



Manage and maintain the CEO's calendar using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements. Prepare and proofread correspondence, reports, and presentations with attention to detail and accuracy. Handle incoming calls via multi-line phone systems with professional phone etiquette; direct inquiries appropriately. Assist with bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking. Organize and maintain filing systems--both physical and digital--to ensure easy retrieval of documents. Coordinate logistics for meetings, conferences, and events; prepare agendas and take minutes as needed. Manage front desk responsibilities such as greeting visitors, handling mail, and supporting administrative needs across departments. Utilize Office Suite (Word, Excel, PowerPoint) to create documents, spreadsheets, and presentations aligned with organizational standards. Use DocuSign for electronic signatures on contracts and important documents. Support special projects by conducting research, compiling data, and preparing reports as assigned.

Experience



Proven experience as an Office Administrator, Executive Assistant, or similar clerical role supporting senior management. Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace applications, QuickBooks, and DocuSign. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent written and verbal communication skills along with professional phone etiquette. Experience with bookkeeping or basic accounting tasks is preferred. Prior office experience including front desk duties or administrative support is highly desirable. Ability to handle sensitive information discreetly while maintaining a high level of professionalism. Pay: $59,186.92-$66,107.18 per year
