Job Title Executive Assistant, Telecommunications and Network Services (TNS)



WHAT IS THE OPPORTUNITY?

The Executive Assistant, TNS will provide primary first-class executive administrative support and coordination services on behalf of the VP, Telecommunications and Network Services (TNS) within RBC\xe2\x80\x99s Technology Infrastructure group.

Armed with extensive knowledge of the job, RBC policies and practices, the Executive Assistant will function as a polished professional and proactive, strategy-oriented administrative business partner/support arm to the TNS technology team and the TNS Business Office, performing a dynamic range of advanced administrative/operational assignments.

WHAT WILL YOU DO?

  • Act as the key contact for the executive that you will be supporting.
  • Manage and maintain calendars, coordinate meetings, conference appearances and bookings, travel, and hotel arrangements for the Executive.
  • Monitor inbox to help manage meeting proposals, action items and address and delegate inquiries.
  • Organize virtual and in-person meetings (book meeting location and order equipment resources).
  • Arrange and coordinate business planning sessions, town halls, staff meetings, management meetings, bi-weekly management team meetings, and one-on-ones with direct reports.
  • Follow-up on agenda items or deliverables, including coordination with facilitator and presenters to deliver materials in a timely manner, as required.
  • Support the overall objectives of the senior management/TNS Business Office team with the coordination of meeting planning and materials, including providing administrative support, organizing of team meetings, helping with town hall meetings, etc.
OTHER ADMINISTRATIVE DUTIES
  • Provide secondary assistance to the Director, Business Office in managing day-to-day priorities and create forward-looking agendas and calendars aligned to key priorities.
  • Coordinate with stakeholders and other third parties for the organization of conferences, schedules, itineraries, etc.
  • Work closely with other executive assistants in the organization to effectively plan meetings, events and manage calendar series.
  • Continue to enhance team workplace operations, supporting the overall goals of the senior management team (display agility, use new tools and skills (virtual capabilities) and encourage and proactively identify and execute on efficiencies).
  • Support the VP in activities to drive deeper employee engagement (i.e., team social events, coffee chat sessions, focus groups, and other connect with VP opportunities).
  • Prepare presentation materials and meeting agendas and ensure relevant information is accessible, assembled and prepared for meetings.
WHAT DO YOU NEED TO SUCCEED?

MUST HAVE:
  • 5+ years\xe2\x80\x99 experience of executive administration/senior administrative coordinator experience, providing support to executive/VP-level management.
  • Solid organizational skills: able to organize, plan and schedule VP and TNS activities using complex calendaring, inbox management/scheduling faculties.
  • Mature and collaborative interpersonal, business partner and diplomacy skills showing comfort in dealing with individuals across all levels of the organization, and aptitude to prioritize activities, work efficiently, and perform duties accurately with minimal supervision.
  • Expertise in delivering flexible business travel/hotel booking arrangements with advanced experience in executing associated expense management deliverables (reporting/approvals tracking and reconciliations) via SAP Concur.
  • Strong written and verbal communication skills, with proven ability to create and edit executive-quality documents, such as letters, memos/agendas, minutes, organization charts and slide decks, demonstrating advanced mastery using and communicating through various applications such as MS Visio, Word, and PowerPoint.
NICE-TO-HAVE:
  • Solid knowledge of relevant RBC policies and procedures (e.g., vacation and absence management; expense guidelines; travel policy; employee onboarding and offboarding) - an asset.
  • Prior senior administrative experience in telecommunications industry \xe2\x80\x93 an asset.
  • Microsoft Certifications in PowerPoint, Word, and/or Excel \xe2\x80\x93 an asset.
  • Familiarity with Workday HCM \xe2\x80\x93 an asset.
