Position Summary

As an Executive Assistant within our Legal Services Department, you will be responsible for providing secretarial and administrative support for General Counsel and Legal Services.
Responsibilities
What will your typical day look like? Provides efficient executive administrative services to General Counsel and Legal Services to assist in meeting unit responsibilities, while maintaining the confidentiality of Legal Services according to the standards of a legal office. Obtains relevant information, through inquiry or preliminary research, to provide to General Counsel and Legal Counsel when a legal opinion has been requested; drafts and prepares responses/correspondence to routine requests for General Counsel?s signature, reports, legal memoranda, court submission and other documents. Prepares agendas, arranges and attends meetings; takes minutes and distributes relevant materials; types and transcribes correspondence, reports, memos and other documents from written/dictated materials, etc. Co-ordinates the submission of all Legal Services related Board reports; ensures all reports required for General Counsel?s signature are submitted in a timely fashion in proper format and follows up on outstanding issues requested by the Board or Service. Prioritizes, logs and monitors incoming correspondence and emails and ensures follow up. Maintains a system for filing deadlines, appointments, court appearances, due dates for legal opinions, etc. and uses same to maintain timely communication with clients. Maintains effective time management by controlling the access of people who wish to see or speak with General Counsel and Legal Counsel; screens and prioritizes incoming calls and provides assistance and/or redirects to the appropriate unit/person for action. Schedules appointments, arranges meetings (by maintaining an electronic calendar) and co-ordinates travel arrangements. Processes financial documents related to current and/or capital budgets, express purchase orders, purchase requisitions, cheque requests and expense claims; reconciles monthly p-card charges against VISA statements; assists with the development and monitoring of the Unit Budget. Responds to inquiries and provides guidance/answers to questions regarding Legal Services related issues. Maintains a working knowledge and understanding of changes in Service policies, procedures and working agreements. Maintains up-to-date and accurate filing systems and procedure manuals and purges documents, adhering to the Records Retention Schedule. Assigns routine requests for information to the appropriate staff members/managers for responses and follows up and ensures responses are submitted to General Counsel in a timely fashion. Performs additional duties as assigned.
Qualifications

You are someone with: Post secondary education in Legal Operations, Office Administration or equivalent, or an equivalent combination of education and experience A minimum of five years' experience in an administrative support function, with at least two years of which is in a legal office, preference to be given to experience to a Legal Services unit within a police service Demonstrated intermediate knowledge of MS Office (Word, Excel and PowerPoint) Demonstrated knowledge of the organizational structure, directives, goals, strategic plans and operational direction Strong attention to detail Effective oral communication and interpersonal skills Demonstrated co-ordination and organizational skills Demonstrated multi-tasking ability Demonstrated problem solving skills Ability to work independently with limited supervision Ability to work effectively in a highly confidential and sensitive environment
