The Executive Assistant will report to a Managing Director, Head of Real Estate, North America, and will be responsible for providing day-to-day administrative support including managing travel, calendars, meetings, expenses, events, presentations, correspondence and departmental initiatives.Team DescriptionThe Real Estate investment team invests in real estate across the risk spectrum, from development projects to stabilized assets, with a particular focus on programmatic investments that enable our portfolio to achieve scale with key partners. We invest primarily with aligned operating partners in direct real estate through joint ventures but will also consider private and public real estate platforms. In the North America, we actively invest in major markets across the country, including all major asset classes (such as industrial, residential, retail, and office), as well as emerging sectors (such as data centers, life science, and student housing).Position Requirements:
  • Provides general administrative support to the Managing Director(s) and to the wider team.
  • Proactively coordinates multiple calendars, including scheduling internal and external meetings, room bookings and calls and works with global CPP Investments departments/offices to coordinate logistics.
  • Ensures team members are prepared for meetings and carry-forward action items.
  • Performs expense reporting, and coordinates approval and processing of invoices.
  • Assists in the creation of high quality on-brand communications, reports, and presentations.
  • Provides support and assists with departmental and team off-sites and social events.
  • Coordinates and books travel arrangements, including flights, hotels and visa requirements as needed.
  • Handles highly confidential material/matters relating to the department and organization with utmost discretion.
  • Coordinates and performs critical internal processes for the team.
  • Works closely with other Executive Assistants and teams to increase efficiency and provide overall departmental support.
Qualifications
  • College diploma or bachelor's degree
  • 6+ years administrative support with experience working in a fast-paced, professional environment.
  • Experience providing support to multiple professionals and managing competing priorities.
  • Experience with complex calendar management, booking high profile meetings, events, scheduling travel and managing expense reimbursement process.
  • Working knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Calendar) and comfort and interest in learning new applications.
  • Team player, eager to learn, adaptable, calm under pressure, and professional.
  • Able and willing to work flexible hours, as required.
  • Proven attention to accuracy and detail, highly organized with the ability to prioritize and multi-task.
  • Exceptional (written and verbal) communication skills and interpersonal skills.
  • Ability to work in a high performing culture, under pressure and with time-sensitive deadlines
  • Personable, easily interacts with all types of personalities and at all levels with a high degree of professionalism.
  • Proven ability to work independently as well as to perform effectively in a team-oriented and open-concept environment.
  • Interest in the investment industry is considered an asset.
