Administrative/Executive Assistant

to support our real estate operations and help deliver an exceptional client experience.

This is an

in-office

position based at the Shops at Don Mills. It's ideal for someone who thrives in a fast-paced environment, is highly organized, detail-oriented, and confident handling a wide variety of real estate-related tasks.

Key Responsibilities:



Draft and manage transaction documents for buyers, sellers, and landlords Coordinate referral forms and worksheets; organize and update spreadsheets Edit and maintain marketing materials using Adobe Photoshop or Canva Create and post social media content (reels, captions, posts) Design marketing assets (e.g. Meta ads, Mailchimp campaigns) Track and submit deal documentation to the RLP Signature Deals Department Collect and coordinate commission cheques and delivery Prepare CMAs and find comparable properties Maintain updated deal spreadsheets (mortgage status, invoices, etc.)

Required Skills & Experience:



Minimum 2 years of real estate administrative experience (mandatory)

Strong organizational and multitasking abilities Excellent written and verbal communication skills Real estate software experience: BrokerBay, WebForms, GeoWarehouse, DocuSign, MPAC, Realm, RealtorLink Experience with Canva CRM experience (e.g., KVCORE, Follow Up Boss) Social media and digital marketing experience (Instagram, Facebook Ads, Google Analytics) Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) Familiarity with Adobe Suite (Acrobat, Photoshop, Illustrator)

Bonus Skills:



Experience with Mailchimp, Google Gemini, Notion, or similar tools Project management or self-management software experience Valid driver's license and reliable access to a vehicle (preferred) A growth mindset and a desire to develop within the team long-term

This is an

in-office

position located at the Shops at Don Mills - 8 Sampson Mews, Unit 201. Remote work is not available for this role.
