The Opportunity:
Symcor is seeking an experienced Executive Assistant to join our team and be the driving force behind our Senior Vice President and their leadership team\'s success. As the Executive Assistant, you will be entrusted with critical responsibilities, ranging from calendar management to confidential correspondence. This role is ideal for those with 3 or more years of experience supporting senior executives and for those who possess exceptional organizational and communication skills.
This is a truly hybrid role with no mandatory days in office. We do request that the candidate can travel to the site, coming in for a purpose such as in-person collaborations, team or company events, etc.
About The Role:
1. Calendar management
Manages all aspects of the SVP and her team\'s calendar, including scheduling meetings and visits with internal and external resources
Manages access to the SVP and the SVP\'s time ensuring there are no scheduling conflicts and ensuing the SVP is in the right place at the right time
2. Correspondence & Meeting Preparation
Handles all methods of communication (i.e. phone, e-mails, correspondence, enquiries) in a professional, and extremely confidential manner, prioritizing and dealing with items where possible, including preparation of responses where appropriate
Prepares, in final form, a wide variety of letters, memoranda, charts, statistical reports of a highly confidential nature
3. Travel and Expense Management
Arranges travel and accommodation needs and reconciles expenses and other paperwork as required
4. Event Planning & Organization
Books conference room facilities and organizes group meetings, Team Events, business conferences, including luncheons and other business-related functions on behalf of SVP and her team
Order and manage booking, catering, materials, parking etc. for group meetings and events
5. Resource Management
Ensure Organizational Charts & Email Lists are complete and up-to-date as employee and resources move
New employee/contractor setups including site and system access and hardware and software requests
What You Need to Succeed:
Education:
College or University Degree or equivalent work experience
Experience:
Possess 3+ years of distinguished experience supporting senior executives, underscored by proficiency in Outlook calendar management
Proofreading emails, notes, presentations and providing recommendations on edits.
Skills:
Highly developed communication skills (written/verbal) and interpersonal savvy
Strong initiative and ability to apply judgment to make solid decisions.
Demonstrated high level of accuracy and attention to detail in a fast-paced environment, managing multiple tasks simultaneously as priorities change
Tact, integrity, diplomacy and confidentiality
Ability to work independently and manage multiple, changing priorities
Strong organizational and time management skills.
Superior computer skills (MS Office, MS Project, MS PowerPoint, MS Excel, SharePoint, Visio, Lotus Notes) with strong analysis skill
Able to successfully navigate within varying degrees of ambiguity
Able to collaborate across internal departments
Ability to display a high degree of discretion in dealing with confidential documents and information
Outstanding customer relations skills
