ABOUT THE ROLE
The Event and Experience Coordinator plays a hands-on role in bringing our brands to life through exceptional events, sponsorships and consumer activations across Atlantic Canada. Working closely with the Marketing Manager and Chief Marketing Officer, this position supports Nova Scotia Spirit Co., Annapolis Cider Company, and Cape Breton Beverages in planning and executing brand experiences that drive connection and celebrate our local roots.
This role leads the coordination and oversight of field staff, including the Events Specialist & Merchandiser(s) and Brand Ambassadors, ensuring every consumer touchpoint reflects our brand standards and delivers meaningful engagement.
This is a fast-paced dynamic role for a self-starter who thrives on organization, creative problem solving and hands-on execution. You'll coordinate everything from community events and sampling programs to festival activations and trade shows - helping shape the way consumers interact with our brands.
KEY RESPONSIBILITIES
Event Planning & Execution
Plan, coordinate and execute events, tastings, and sponsorship activations across all brands.
Manage event logistics including booking, set-up, staffing and on-site execution.
Work cross-functionally with sales and operations to ensure inventory and equipment are ready for each activation.
Support shared sponsorships and events with Cape Breton Beverages when brands participate jointly.
Manage event budgets, negotiate vendor agreements, and ensure all activations deliver value within approved financial parameters.
Ensure all events comply with applicable alcohol service lawns, brand representation standards, and health and safety requirements and legal documentation is present when applicable.
Oversee and coordinate the work of the Events Specialist & Merchandiser(s) to ensure smooth execution of all retail and customer activations.
Ensure event setups, displays and branded environments meet established brand and presentation standards.
Provide guidance and support for logistics such as product transport, staffing, and on-site troubleshooting during key events and festivals.
Team & Vendor Coordination
Schedule and lead Brand Ambassadors, ensuring they are well briefed and brand aligned.
Manage vendor relationships for event rentals, permits and supplies.
Support communication and coordination with event partners and organizers.
Supervise the Events Specialist & Merchandiser(s) and Brand Ambassadors, ensuring they are trained, equipped, and supporting with clear event expectations.
Review post-event recaps from field staff to assess performance and identify
opportunities for improvement.
Promotional Product & Merch Management
Support ordering, inventory, and tracking of promotional materials and merchandise.
Work with the Marketing Manager to ensure event materials are on brand and within budget.
Coordinate distribution and tracking of branded POS materials, tents, display items used by the Events Specialist & Merchandiser(s) at festivals, markets and retail locations.
Monitor replenishment needed for merchandise and promotional stock to ensure readiness for upcoming activations.
Process & Data Development
Help build event planning templates, tracking tools and standard operating procedures as the team grows.
Maintain records for event requests, costs and attendance to support reporting and decision making.
Assist with collecting data and feedback to evaluate event performance and sponsorship ROI.
Maintain standard post-event reporting templates for the Events Specialist & Merchandiser to capture photos, metrics and consumer feedback.
Consolidate insights from field execution into broader event performance reports for the Marketing Manager.
Brand & Digital Support
Capture photos and content from events for social media and marketing use.
Collaborate with the Graphic Designer to ensure creative materials are ready for each activation.
Support digital and promotional campaigns as needed to integrate events into broader marketing plans.
QUALIFICATIONS
2-4 years of experience in event coordination, marketing, or brand activation (preferably in the CPG or beverages categories).
Experience supervising or coordinating event or merchandising staff is considered a strong asset.
Strong organizational and project management skills with high attention to detail.
Comfortable working in a fast-paced environment and handling multiple projects simultaneously.
Excellent communication and interpersonal skills.
Ability to build strong relationships internally and externally.
Proficiency in digital marketing tools and analytics platforms (Meta, Mailchimp/Klaviyo, Google, etc.).
Strong computer literacy, including proficiency with Office 365 (Excel, SharePoint, Teams, Forms).
Willingness to travel within Atlantic Canada and work occasional evenings or weekends for events.
Comfortable lifting and transporting event materials or merchandise as required.
