Your Role:



As Event and Sales Coordinator, you will be at the heart of both guest celebrations and the property's sales initiatives. You'll collaborate with clients to bring their event vision to life, coordinate logistics with hotel departments, and build relationships that drive continued business growth. This is a client-facing and pivotal operational role requiring extremely strong organizational skills, meticulous attention to detail, creativity, and a polished presence.

Key Responsibilities:



Event Management:

Guide clients through planning--consult on event needs, develop detailed proposals, and coordinate logistics including setup, catering, decor, AV, and vendor services.

Sales Growth:

Generate and follow up on group and event sales leads, prepare quotes and contracts, and support marketing initiatives to attract new clients.

Client Relationships:

Maintain clear, professional communications throughout the sales/event process, ensuring guest satisfaction and repeat business.

On-Site Execution:

Act as the main liaison on event days, supervising and assisting with setup and delivery, resolving issues, and upholding the highest standards of service.

Inter-Department Coordination:

Partner with hotel teams--including Front Desk, Housekeeping, Culinary, and Banquets--to ensure seamless guest experiences and operational excellence.

Administrative Support:

Manage group agreements, billing, and reporting in the hotel's system for accuracy and accountability.

Event and Sales Coordinator Requirements and Qualifications:



Essential Requirements:



Post-secondary education in Hospitality, Business, Event Management, or a related field (or equivalent experience). Minimum 2 years of experience in hotel event planning, sales coordination, or related roles, preferably in a luxury or full-service environment. Excellent verbal and written communication, negotiation, and relationship-building skills. Advanced organization, time management, and multitasking abilities. Proficiency in MS Office Suite, specifically advanced skills in Excel Word; Comfortable with Canva. Flexibility to work weekdays, evenings, weekends, and holidays to accommodate events and peak sales periods.

Preferred Qualifications:



Previous experience with event budgeting and group billing. Knowledge of banquet and catering standards. Professional certifications in event management (e.g., CMP, CSEP), as well as current ProServe and Food Handlers certification are considered strong assets. Familiarity with local event vendors and community organizations.
