We are currently seeking a permanent full time Documentation Coordinator to join its vibrant team. The main goal of a Documentation Coordinator is to support our export operations by ensuring all necessary documents are accurately prepared and filled. Work Schedule :
Monday to Friday 9 : 00am to 5 : 00pm, Hybrid 3 days in office
After hours availability for West Coast employees if needed.
The employee will be required to be present at the office every day during the 3-month training period. Once the training is complete, the employee will be required to attend the office 3x week and when needed.
Main Responsibilities:
Generate and review export documentation, including bills of lading, certificates of origin, marine insurance, and for certain customers packing lists, commercial invoices.
Ensure all documents meet international trade regulations and standards. Stay updated on changing export laws and regulations.
Work with logistics agents, logistics providers such as steamship lines and terminal to arrange shipments and resolve any issues that arise.
Maintain accurate and organized records of all export transactions and documents.
Liaise with customers to provide updates on shipment status and resolve any documentation-related inquiries.
Address and resolve discrepancies or issues in documentation to prevent shipment delays.
Prepare reports on export activities and performance metrics for management.
Qualifications & Skills
1+ years of relevant experience in logistics/shipping industry, customer service, office administration or similar role
High School Diploma is required, Certificate or CEGEP/College education is preferred. (Logistics/ Supply Chain)
Software Proficiency: Knowledge of SAP, Microsoft Office Suite (Excel, Word, Outlook), and specialized logistics software.
Excellent typing and data entry skills.
Good verbal and written communication skills in English. (French is an asset).
Preferred skills: Attention to detail, Multi-tasking Abilit to adapt quickly to different situations.
Preferred Qualifications:
Experience in handling ocean export documentation.
Experience in preparation and issuance of Ocean B/Ls, as well as issuing other export documentation (Certificate of Origin, CNCA Certificate, Invoicing)
Knowledge of export regulations, CAED regulations, and full understanding of Incoterms.
Experience with sailing schedules, resolving freight discrepancies and customer complaints, file estimate and file closing, and handling a high volume of daily general correspondence with customers and carriers.
