Summary
We are hiring a dispatcher/service coordinator to manage daily technician scheduling, emergency response, and service workflow.
This role requires judgment, planning, and the ability to manage multiple priorities in real time. It is not a call-centre or entry-level admin role.
Responsibilities
Dispatch plumbing and HVAC technicians based on urgency, skill, location, and efficiency
Triage emergency calls (leaks, no heat, safety issues)
Build and adjust daily and next-day schedules
Communicate schedule changes clearly to technicians
Coordinate access with property managers, tenants, and unit owners
Monitor email for approved quotes and convert them into jobs using ServiceTrade
Attach vendor invoices to the correct jobs in a timely manner
Coordinate building water or heating shutdowns for repairs
Combine work to minimize repeat shutdowns and unnecessary return visits
Follow up on after-hours and weekend call-outs
Close completed jobs so they can be invoiced
Communicate delays and updates professionally
Handle upset customers calmly and constructively
Qualifications
Strong organizational and prioritization skills
Ability to think ahead and anticipate downstream impacts
Comfortable making decisions under pressure
Clear, professional phone and email communication
Ability to manage interruptions without losing track of priorities
Experience in dispatch, service coordination, facilities management, property management, or trades-based scheduling is a strong asset.
Experience with ServiceTrade or similar field service software is an asset.

Not a call-centre role
Not a purely clerical or admin position
Not suitable for someone who needs rigid scripting or constant direction
