POSITION PURPOSE:

Under the direction of the Executive Director, the Director of Philanthropy is responsible for the direction and management of the YWCA\'s philanthropy team, initiatives and activities designed to support and further the mission of the YWCA. The Director of Philanthropy creates and implements an effective, comprehensive fundraising plan focusing on the identification, cultivation, solicitation and stewardship of individuals and families, community groups, corporations and foundations. The Director of Philanthropy provides the highest level of stewardship for all donations to the YWCA and all relationships with donors and prospective donors in accordance with professional ethics and approved business practices. The Director supports the mission of the YWCA and builds awareness while operating ethically.

RESPONSIBLITIES:

Major Gifts Program Development and Implementation
  • Develop and implement a major gifts program plan to meet program goals and objectives.
  • Actively manage a portfolio of current and prospective major gift donors with the capacity to solicit major gift donations in the five to six figure range.
  • Ensure that prospect research is conducted and cultivation strategies are developed and detailed for major donor prospects.
  • Build relationships with major gift donors or prospects including corporate and foundation accounts.
  • Ensure that compelling proposals and stewardship reports are prepared and delivered to major donors and major donor prospects to gain their support.
  • Develop and implement a plan to identify, recruit, train, motivate, and engage key stakeholders in major gifts fundraising.
  • Develop a personalized moves management strategy to help donors progress through the giving cycle.
  • Participate in donor cultivation, stewardship, as well as recognition events and activities.
  • Closely monitor and evaluate program performance against targets and adjust plans and strategies accordingly to meet or exceed overall revenue goal.
  • Work with appropriate fund development and communications staff to identify and develop marketing materials for specific major gift uses.
  • Provide leadership and direction to develop and implement specific stewardship strategies for major donors, ensuring that program update reports are available and monitored.
  • Prepare and monitor a detailed annual fundraising plan including setting financial targets and expense budgets.

Planned Giving Program Development and Implementation

  • Identify and initiate contact with potential planned/deferred gift donors. Solicit gifts and negotiate agreements with potential donors. Appreciate and celebrate their commitment as appropriate.
  • Direct YWCA planned giving/deferred giving marketing program, which includes print advertising, newsletters, letters, annual reports, brochures, presentations, calls, and other strategies designed to motivate donors to provide both short range and long-range support for YWCA Peterborough Haliburton programs.
  • Set planned giving goals; measure and evaluate on an ongoing basis.
  • Maintain sufficient records, contact reports, and background data to facilitate regular reporting on activities, costs, and results.
  • Develop relationships with allied professionals to ensure information about the YWCA is readily available to their clients when needed.

Agency Planning and Development

  • Participate in the development of the YWCA Strategic Action Plan.
  • Participate in strategic planning, including program and service planning, human resource planning, and budget preparation activities, that are reviewed in-line with resources and funding allocations.
  • Develop a philanthropy program and schedule reflecting projected plans.
  • Generate transition plans and set priorities to facilitate organizational realignment, if necessary.
  • Participate in community planning initiatives with partner organizations.

Budget Management

  • Prepare annual budgets including revenue and expense projections for all fundraising portfolios.
  • Set annual goals for revenue, maintaining an appropriate cost per dollar raised.
  • Utilize monthly financials in order to monitor and ensure adherence to approved budget.
  • Evaluate programs\xe2\x80\x99 effectiveness in order to make budget recommendations each year.
  • Meet or exceed financial targets each year.

Public Relations and Communications

  • Oversee planning, development, and implementation of short and long range communications and public relations program, to inform the public about the services, programs, mission and issues of the agency, including development of media strategies.
  • Assist the agency in achieving its goals, interpreting the work of the agency to the community and to other agencies in the community to raise awareness and gain understanding and support from the public.
  • Ensure co-ordination of all publications, audiovisual and promotional materials issued by the agency or the Board such as brochures and handbooks describing the function of the agency, press releases, advertisements, social media posts, annual reports and other event promotional material.
  • Ensure proper licensing, policy, procedures, reporting, receipting and recognition is carried out.
  • Direct the work of the Communication Manager regarding media relations and YWCA promotion.

Finance

  • Oversee and assist in the preparation of regular reports on progress, budget, receipts and expenditures related to fundraising and the management of fund development activities including donation summaries and event analyses with the Lead Philanthropic Operations.
  • Oversee acknowledgement and receipt of all gifts, pledges and installments in a timely manner and in accordance with leadership directives, professional guidelines and federal requirements.

Board of Directors Support

  • Provide support to the Board of Directors as required.
  • Ensure the Executive Director is conversant with fundraising and communications issues and information relevant to the Board\xe2\x80\x99s activities and governance roles.
  • Act as a resource to any Board Committee, or other standing or ad hoc committees, as required.

Supervision of Human Resources

  • Provide supervision to all philanthropy team members including volunteers and manage in a manner that motivates, guides and directs employees to the realization of YWCA values, objectives and performance expectations.
  • Maintain a work environment that expects fairness, consistency, respect and approachability while promoting staff participation, team work and positive employee relations.
  • Oversee staff orientation, learning and development plans and ensures accordance to YWCA policy, procedure and guidelines.
  • Manage recruitment, performance evaluation, coaching, discipline and termination where necessary ensuring accordance to Human Resources policy.
  • Manage the effective and efficient distribution and utilization of team staff members based on the established productivity levels, program goals and guidelines that ensure continuity in the provision of necessary services and sufficient staff coverage.
  • Hold people accountable to standards of performance including conducting annual performance appraisals that support staff in establishing and attaining performance goals.
  • Manage attendance according to policy.

Senior Leadership

  • Exemplify and inspire behaviour, action, and attitudes that are consistent with YWCA\xe2\x80\x99s vision, mission, values and code of ethics.
  • As a Director, set the overall direction of the YWCA and provide strategic advice on philanthropy matters; provide advice to the agency on future needs and the impact of emerging trends and priorities.
  • In conjunction with the team, implement the Strategic Plan through participating in the development of an operational plan.
  • Provide leadership for the operational success of the Philanthropy Department.
  • Articulate and constantly monitor key metrics of the department to assess their efficiency and effectiveness to ensure the highest level of service is being provided.
  • Assess risks to the agency and take appropriate action to minimize and eliminate risks.
  • Lead the department through periods of change and exemplify the role of an enthusiastic \xe2\x80\x9cchampion of change\xe2\x80\x9d.
  • Promote and ensure integration of activities across organization and monitor achievement of goals set.
  • Foster leadership development among staff to ensure succession planning for key positions.
  • Ensure implementation of new policy and programs in response to system demands.
  • Represent the YWCA in the community and on community initiatives, demonstrating advanced political acuity to ensure successful representation.

Relationship Management

  • Establish and maintain effective relationships with internal and external partners including YWCA staff, funders, donors, municipal, provincial and federal contacts and officials, volunteers, numerous community and professional agencies and institutions and other YWCAs. Represent and advocate for the YWCA in the community and on community committees, demonstrating political acuity to ensure successful representation; employ consensus building skills to ensure the most beneficial, collaborative outcomes
  • Collaborate with stakeholders in the implementation of philanthropy plans and programs.
  • Develop and maintain collaborative relationships at all levels of the organization to ensure the most effective services are provided with all Programs.
  • Ensure ethnic, spiritual, linguistic, familial and cultural differences are respected.

Team Building

  • Develop professional working relationships with team members
  • Work respectfully, positively and collaboratively within a team environment sharing experiences and lessons learned
  • Actively participate and engage in team and staff meetings, training sessions and other meetings/sessions as required.
  • Support the team and work with team members to ensure department needs are met including absence coverage.

Health and Safety

  • Oversee compliance with the Occupational Health and Safety Act (OHSA) for self and all indirect and direct reports by ensuring, or delegating to a subordinate to ensure, that workers comply by:
  • Work in the manner and with the protective devices, measures and procedures required by the OHSA Act and the regulations; and
  • Use or wear the equipment, protective devices or clothing that the worker\xe2\x80\x99s Employer requires to be used or worn; and
  • Ensure that only authorized, adequately trained workers operate equipment
  • Ensure that all protective devices are provided and maintained in good condition
  • Ensure health and safety policies and procedures are communicated to employees during their orientation
  • Correct unsafe acts and unsafe conditions
  • Ensure that every reasonable precaution is taken for the protection of the worker, and undertake the following:
  • Advise a worker of the existence of any potential or actual danger to the health and safety of the worker of which the Director is aware; and
  • Where prescribed, provide a worker with written instructions as to the measures and procedures to be taken for protection of the worker
  • Undertake workplace inspections, conduct information sessions (safety talks, team meetings), conduct incident investigations, conduct employee training, correct substandard acts or conditions, commend employee health and safety performance, perform employee safety observations, report accidents/incidents immediately, and perform any other activity to ensure compliance with the OHSA.
  • Ensure that all contracted labour and contractors follow Health & Safety guidelines for their occupation.
  • Eliminate any hazards in own work area.

Other Related Activities

  • Interact positively with members, volunteers, community leaders, and Board of Directors.

QUALIFICATIONS

  • Bachelor\xe2\x80\x99s degree in philanthropy, non-profit management or leadership, business administration, marketing, communications, public relations, humanities or a related field.
  • Certificate in Fundraising Management or CFRE (Certified Fundraising Executive) designation required.
  • 7-10 years of professional philanthropy or progressive fundraising experience in a fast paced charitable or non-profit environment.
  • A minimum of 5 years of supervisory, management, or leadership experience with a strong ability to motivate and facilitate in the development of others.
  • Membership in AFP and a local / national planned giving professional society is preferred.
  • Demonstrated ability to build and cultivate a culture of philanthropy within an organization and to engage in one-on-one solicitation and ongoing donor stewardship.
  • Extensive experience with solicitation and stewardship of individual, foundation and corporate donors, and potential donor cultivation and research, grant writing, and special events.
  • A successful track record in executing on strategy, setting priorities, managing multiple projects and working effectively under pressure to achieve individual and organizational goals.
  • Advanced ability to build and maintain strong relationships with internal and external stakeholders.
  • Strong level of emotional intelligence and ability to listen to others.
  • Proficient in Microsoft Office, Donor Perfect, Raisers Edge, granting/donor databases (and management tools), customer relationship management systems, digital communications (social media sites, web content management), and online fund processing systems.
  • Intermediate level of budgeting and finances.
  • Exceptional service orientation and strong interpersonal skills. Ability to negotiate and influence others.
  • Strong organizational, analytical, problem solving, decision making skills.
  • Advanced verbal, written communication skills, including presentation skills.
  • A consummate team player with a flexible, collaborative and creative approach.
  • An ongoing commitment to learning and developing as a professional, remains apprised of best practice research.
  • Ability to deal with highly sensitive and personal information in a confidential manner.
  • Highly detail-oriented.
  • Acts with integrity, trustworthiness, humility, transparency and compassion.
  • Ability to work with and meet tight timelines.
  • Understanding of feminism and women\'s based organizations an asset.
  • Personal experience with gender-based violence an asset.
  • Experience working with a board of directors is an asset.
  • Knowledge of AFP guidelines, Donor Bill of Rights and CRA Guidelines is an asset.
  • Must be able to work evenings and weekends when required in a variety of social and physical settings along with travel and offsite work.
  • Clear CPIC with vulnerable sector screening required
