Discover how you can make a difference in the lives of individuals, families and communities around the world. : Reporting to the AVP, Canadian Document Services (CDS), this position is responsible for the overall document capture operations for SLF Canada. Managing two capture operations in Canada across 2 sites with multiple shifts and a team of ~50 data entry operators in India. This includes the development of guidelines and procedures to ensure the efficient and systematic control of the receipt, creation, and disposition of business records. The incumbent will lead our Document Capture strategies with primary accountability focused on leading and maturing the program for Canada. Working closely with each business unit to develop and implement solutions to capture both paper and electronic records. In addition to working with and supporting all Canadian business units, the incumbent partners with several specialized teams within our organization to set priorities, develop action plans and deliver results. This includes working with Enterprise IT, Legal, Compliance, Risk and Finance. The incumbent is responsible for sponsoring initiatives relating to document capture, as well as working with the business units to prioritize system and process enhancements and changes. These priorities will need to align to imaging guidelines as well as opportunities identified through our BWMS management framework. What will you do?

  • Provide overall vision and leadership for the document capture teams in developing and delivering annual objectives
  • Drive and guide the Document Capture program for Canada, ensuring processes are in place for managing paper records, closing gaps where necessary
  • Participates in budget planning and manages expenses, reporting on budget variances and providing budget re-projections as required
  • Ensures the authenticity of business records and the integrity of image systems and processes by complying with departmental procedures manuals and guidelines
  • Ensures legal admissibility of images, image longevity and business continuity
  • Adheres to internal and external control practices, such as; Canadian Government Standard on Electronic Documents, Enterprise Information Security, OSFI, SOX, Image Standard, SLF Records Management Standard, Privacy Policy, etc
  • Maintains thorough knowledge of industry practices, new products, services, and any changes impacting the operations, ensuring best practices are identified and implemented
  • Continue to strengthen BWMS practices within the team, specifically on embedding operational capabilities across team, with a continuous improvement mindset
  • Foster a work culture that values people and their initiative, creativity, learning,accountability and performance which is reflected in above average employee engagement scores and people metrics
  • Drive results within budget while continuously looking for improved financial and productivity performance
  • Work with Digital business automation services (DBAS) to help develop and influence the direction of the Document Capture program
What do you need to succeed?
  • 3-5 years of experience in people management and change management capabilities,
  • Bilingualism (French, English) required- interactions with English-speaking customers or partners *For Quebec only
  • Proven ability to set direction, create strategies and business plans, and execute on plans/strategies
  • Results oriented with ability to work in a fast paced and changing environment, with a strong achievement motivation
  • Ability to participate in the development of innovative business applications and implement solutions
  • Knowledge of laws, regulations, industry standards, guidance and principles that govern the document capture function
  • Excellent verbal and written communication, facilitation and presentation skills
  • Strong analytic and diagnostic skills dealing with opportunities and issues
  • Ability to prioritize and manage various activities concurrently
  • Strong collaboration skills including listening and facilitation skills with the ability to work with various functional teams
Assets:
  • Operations experience preferred
  • Expert knowledge of financial services principles and terminology
  • Formal training or equivalent experience in document capture and information management practices and methodologies
  • Exposure to Lean management systems with a preference for experience applying the Brighter Way Management System

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors.
