Deputy Corporate Officer

The Opportunity

Under the general direction of the Corporate Officer and the Director of Corporate and Community Services, the Deputy Corporate Officer supports the statutory duties and responsibilities of the Corporate Officer. This position provides confidential administrative and organizational support to the Corporate Officer, as well as to Council and its Committees.

The incumbent is responsible for coordinating and executing logistics for Council and Committee of the Whole meetings, including attending and recording regular, special, and closed meetings as required. Duties also include preparing and reviewing agendas and minutes, and operating audio-visual equipment during meeting proceedings.

Additional responsibilities include supporting the records management system, ensuring compliance with the Freedom of Information and Protection of Privacy Act, assisting with bylaw preparation, administering legal agreements and notices, overseeing election administration, and serving as Acting Corporate Officer when needed.

Role Requirements



Applicants must meet the following qualifications:



Valid BC Class 5 Driver's Licence (or interprovincial equivalent) with a clean driver's abstract Completion of a diploma in Public Administration Five years of progressively responsible relevant experience in a municipal government setting (an acceptable combination of education and experience may be considered) Strong overall computer aptitude, with the ability to quickly learn new software and digital tools Advanced proficiency in Microsoft 365 applications (e.g., Word, Excel, Outlook, Teams, SharePoint), Adobe applications, and telecommunication platforms Demonstrated organizational and time management skills, with the ability to effectively manage multiple priorities in a fast-paced environment Strong problem-solving and analytical thinking skills Demonstrated attention to detail, with a proven ability to maintain accuracy and thoroughness when reviewing, preparing, and managing records such as agendas, minutes, reports, and legal documents. Effective verbal and written communication skills, with the ability to communicate tactfully and maintain cooperative working relationships Proven experience in professional report writing and formal minute-taking Ability to remain composed and professional in public meetings, while utilizing strong listening and comprehension skills to accurately capture meeting proceedings Working knowledge of the Local Government Act, Community Charter and other applicable legislation Familiarity with formal parliamentary meeting proceedings such as Roberts Rules of Order

Preferred

Bachelor's degree in public administration or a related field Experience operating audio/visual equipment Experience with eScribe online agenda and meeting management

Working Conditions

This is a regular, full-time role, excluded from the bargaining unit. Hours of work are 35 hours per week, Monday through Friday, although flexibility to work evening meetings is required. The salary for this role is $92,817 - $100,632 per annum, plus an attractive extended benefits and pension package, and four weeks' vacation to start. The successful candidate will be eligible for optional participation in a nine-day fortnight shift schedule - enjoy a long weekend every second week!
