We are seeking a dedicated and detail-oriented Dental Supplies Coordinator to ensure the smooth operation of our internal processes, supply management, customer service, and delivery coordination.

Position Overview:

The Dental Supplies Coordinator will play a vital role in overseeing the company's day-to-day operational functions, including monitoring inventory levels, auditing internal systems, responding to customer inquiries, managing deliveries, and ensuring overall efficiency. The Coordinator will work closely with the cross functional teams to support process improvements and maintain smooth, timely operations across all departments.

1-Supply Management & Inventory Control:Regularly monitor stock levels of

dental supplies, equipment, and materials, ensuring that items are replenished before running out

.Maintain accurate inventory records and coordinate the ordering of products to meet customer demand.Conduct regular inventory audits to identify discrepancies and optimize stock levels.

2-Process & System Audits:Audit internal operational processes to ensure they align with company policies, industry standards, and best practices.Identify inefficiencies or gaps in systems and recommend improvements to streamline operations and enhance productivity.Track and analyze key performance indicators (KPIs) related to supply management, order fulfillment, and customer service.

3-Customer Service & Inquiry Management:Respond to customer emails, phone inquiries, and order requests in a timely and professional manner.Address any issues or concerns regarding product availability, order status, shipping, or returns.Provide product information, recommendations, and troubleshooting support to customers as needed.Coordinate with the sales team to address customer feedback and improve service levels.

4-Delivery Coordination & Logistics:Oversee the delivery schedule, ensuring timely and accurate fulfillment of customer orders.Coordinate with suppliers and logistics partners to manage product deliveries and resolve any shipping issues or delays.Maintain records of all shipments and track delivery progress to ensure customers receive their orders on time.

5-Reporting & Data Management:Report the status of inventory, supply chain challenges, customer service trends, and any other key operational updates.Prepare regular reports on operational performance, including inventory levels, order fulfillment metrics, and customer satisfaction.Analyze sales trends and product performance to assist with purchasing and inventory planning.

6-Collaboration & Team Support:Work closely with the sales, marketing, and warehouse teams to ensure smooth cross-departmental communication and coordination.Provide administrative support where needed, including maintaining internal documentation and supporting team projects.Contribute to overall process improvements, from order entry to final delivery, ensuring a seamless customer experience.

Qualifications:

Previous experience in operations, Dental supply chain management, or customer service in the dental supply industry. Having dental background is considered an asset.

Strong organizational and time-management skills with the ability to manage multiple tasks and priorities effectively.Excellent communication skills, both written and verbal, with a customer-focused approach.High attention to detail and accuracy in all aspects of the role, particularly in inventory and order fulfillment.Ability to work independently and collaborate with different teams in a fast-paced environment.Problem-solving skills, with the ability to handle customer inquiries or issues with professionalism and empathy.
