The Dental Hygiene Schedule Coordinator is responsible for managing, organizing, and optimizing the dental hygiene appointment schedule to ensure efficiency, productivity, and exceptional patient care. This individual is the point of contact for patients regarding hygiene visits and plays a key role in maintaining a full, productive hygiene schedule that aligns with the office's goals and patient needs.
Key Responsibilities:1. Schedule Management
Proactively schedule hygiene appointments to ensure a full and productive calendar.
Confirm hygiene appointments via phone, text, email, or software notifications.
Reschedule cancelled or missed appointments promptly.
Identify and fill schedule gaps through follow-up with overdue or unscheduled patients.
Coordinate scheduling with dental assistants and doctors for exams during hygiene visits.
Maintain accurate, up-to-date hygiene recall and reactivation systems.
2. Patient Communication
Call and follow up with patients due or overdue for hygiene.
Explain the importance of preventative care and regular hygiene visits.
Handle questions regarding insurance coverage, appointment logistics, and treatment needs.
Provide exceptional customer service at all times.
3. Insurance & Financial Coordination
Verify insurance coverage for preventative care services.
Estimate and communicate hygiene-related costs to patients as needed.
Work with front office team to ensure billing accuracy for hygiene procedures.
4. Administrative Duties
Update and maintain patient records, notes, and contact history.
Use dental software (e.g., Dentrix, Eaglesoft, Open Dental) for scheduling and charting.
Prepare daily hygiene schedule reports and productivity metrics.
Assist with front desk responsibilities as needed (check-in/out, phones, etc.).
Qualifications:Education & Experience:
High school diploma or equivalent (required).
1-2 years of dental office experience, preferably in scheduling or front office roles.
Experience with dental software (e.g., Dentrix, Eaglesoft, Open Dental) preferred.
Licenses/Certifications:
No clinical license required, but administrative or customer service training is a plus.
